  2. What is eDofE? A web based system designed to adminster and manage the DofE Facilities Manages young people doing their DofE Participants can record a range of evidence Manages and monitors progress Improves communication Improves understanding of all levels of the DofE

  3. Why is the DofE introducing this? We have to exploit new technology Young people use technology and have an expectation that we should It will give us a clearer picture of DofE activities than we’ve ever had before

  4. Data protection eDofE complies with current data protectionlegislation The DofE’s online privacy policy has been updated to include the data we collect and use through eDofE Data is secure and regularly backed up – we will not lose it

  5. Safeguarding A wide range of safeguarding practices have been built into the system. These are based on good practice guidance produced by the Home Office Task Force on child protection on the internet 2008. These include: Data security and strict controls on data and messaging Safeguarding and child protection policies and procedures Advice during registration on internet safety and safeguarding issues including ways to report them.

Who will have access to the system? • Everyone who is involved in the management and delivery of the DofE and every participant • DofE Manager at HQ Air Cadets • DofE Development Officer • Regional DofE Officers (Assistant Managers) • Wing DofE Officers (Centre Coordinators) • DofE Leaders at Squadron • Participants • Assessors will not have access to the system as not all are covered by CRB etc.

Stages in the eDofE Process • Initial Set-up • Creating new participants • Planning the DofE Programme • Adding evidence • Completing a Section • Completing a Level • Getting an Achievement Pack • The system also has a messaging facility, allows the publishing of news stories, and has a library of resources and web links which can be added to by users

  9. Initial Set-up How you get on to the system

Initial setting up of groups (Squadrons) • Groups (Sqns) will be set up by Wing DofE Officer • Staff: • Prime Leader • Other staff – expedition leaders, helpers, instructors • Staff will receive log-in from Wing DofE Officer – • Username – generated by the system • Password – at least 6 characters, alpha-numeric • Leader will log in for first time

  12. Enter personal information Postcode lookup facility You may enter “Prefer not to say” Normally next of kin Password change mandatory Security question mandatory, but question may be changed

  15. Create New Participant Click on Group Click on Level Enter name Set to today Enter date of birth & e mail Username and password generated by the system

  16. Participants screen This is the same screen as you saw as Leader.

  17. Managing Participants • A list of all your participants can be displayed • Gives access to all participant management facilities • Shows last log in Click on Manage Participants Click on the name for access to more detals details Click on the + to see basic details

  18. Participant overview Access to personal details • Click on a participants name for this screen • Gives access to • Objectives • Evidence • Approvals Access to Preferences, login history and messaging Progress bars Access to objectives, evidence and approvals Timescales

  19. Choosing the Programme • Approving timescales, aims and objectives

  20. Planning Meet the participant and plan the programme using the programme planners. At the planning stage the participant should decide which will be their “long” Section Participant enters timescales and objectives from the planning sheet When participant happy with entries they will request approval from Leader

  22. Choose activity Cannot be more than 3 months before main start date Categories in drop down menu Recognised activities in drop down list

Expeditions • Objectives entered exactly as for the other sections • Team should agree on expedition details to be entered into the system • Four information areas must be completed before the section can be confirmed • Personal Aims and Objectives • Training matrix fields • Details of the practice and qualifying expeditions • Evidence – including assessors report

  33. Training Syllabus May be entered by participant or Leader. Only the Leader can approve

  34. Route Plans Entered by participant. Team should agree what goes into this screen. Expedition Supervisor details may be added Leader may create Green Form, which will be prefilled with entered details

Completing a section Part of the “Overview” screen When participant completes a section they inform the Leader Leader approves the Section Check earliest completion date has been reached Check completion date Ensure Objectives have been approved Check evidence for assessors report If all OK click on Section Approval

  40. Completing a Level • When all Sections approved participant requests approval from Leader • Leader checks all complete and correct and generates an Approve Level report which is sent to the relevant person • Relevant DofE Officer will check details and take appropriate action • A query process exists if there are any problems • If all OK approval will be given by • Bronze – Wing DofE Officer • Silver – Regional DofE Officer • Gold – HQAC

  41. At the end… Participants will receive: A Certificate for the level A badge or pin An Achievement Pack containing their evidence, assessors reports and their own comments on their experiences
