Shelflisting: Behind the Changes • Based on the recommendations of the CMS Task Force on Shelflisting • Supports CMS 2007 Vision Statement goals • Specific goal: reduce processing time, particularly for member copy • More compatible with shelf-ready workflow • Efficiencies in processing allow for greater flexibility in addressing non-traditional cataloging projects

  3. Shelflisting: Responding to Changes • Less physical browsing, more paging • LSF requests changed expectations • Online access from anywhere changed expectations • Most of our peer institutions no longer shelflist • Prioritizing: class number will be more important in next generation catalogs

Effect on Cataloger Workflow • Catalogers will not check Orbis in advance for duplicate numbers • Catalogers will not adjust Biographical, Geographic, Main Entry, or Subject Cutters to fit the preexisting sequence in Orbis • Catalogers will not search in Orbis for other editions to collocate with a new edition or a reprint edition • Catalogers will not search for other translations or the original work to collocate with a new translation

Example: Biography Cutter “As Is” • Call number already in Orbis for Ferrari, Andrea Carlo, 1850-1921: BX4705.F477 C42 1996 • New member record for Ferrè, Pietro Maria, 1815-1886 has 050 _4 BX4705.F477 C388 1999 • 050 _4 number on new record is accepted “as is” • Does not apply to literary authors

  9. Shelflisting: When Not to Do It • Continue to accept 050 00 call numbers as is (and add trailing X). EXCEPTIONS on the next slide, but-- • No longer need to check: earlier editions, translations • NEW: Accept 050 _4/090 call numbers on member copy as is. EXCEPTIONS are on the next slide. • NEW: If a call number needs to be created for original or member copy, shelflisting is not mandatory

Exceptions (Maintain Shelf Sequence) • Classed-together series (serials, multiparts) • New serials and ongoing multiparts • Literary authors (belletristic, books about) • Artists (NJ18) • If an exception applies to member copy, it applies to LC copy; if an exception does not apply to member copy, it does not apply to LC copy • Non-CMS cataloging units are free to identify areas of collocation in their collections (e.g. composers)

Classed-Together Series • When cataloging new records with series, continue to search Orbis to determine whether the series is classed-together locally • If the series is not classed-together, accept the 050 or 090 as is unless it ends with a volume number • A new series may need to be established

New Serials and Multiparts • Continue to shelflist new serials and multiparts because: • Retroactive detection of duplicate numbers may affect multiple volumes • Large set of volumes has a greater impact on physical shelf order • Multiparts: if the number of physical volumes is small and the set is complete, accept the number as is

Shelflisting: Literary Authors (1) • Literary authors are a partial exception • Collocate literary author Cutters: LC author Cutter or Yale author Cutter are both acceptable; member author Cutter must be adjusted to match one or the other • Book number does not have to be reconciled with existing shelf order

Shelflisting: Literary Authors (2) • Literary authors with Cutters already established in Orbis: use either of the following, but prefer the first if readily available • 053 or 050 00 • Cutter established in Orbis • Literary authors new to Orbis • Use 053 or 050 00 from another record if available • Otherwise, adjust the Cutter to fit the existing Orbis sequence

  15. Artists (1) • Like literary authors, a partial exception • Continue to use NJ18 for individual artists/architects in the LC N class (bibliographies of individual artists in Z are not changed to NJ18) • For an NJ18 artist already in Orbis, use the established artist Cutter number

Artists (2) • For a new NJ18 artist, reconcile the new artist Cutter with the existing Orbis file • Book number does not have to be reconciled with existing shelf order (keep in mind: book number is constructed only if the “main entry” Cutter is not A12) • NK numbers follow the default policy (050 00 Trailing X; 050 #4/090 as is)

Copy Cataloger Expectations • Some inappropriate numbers can & should be spotted without viewing the Orbis call number sequence, e.g.: • Member library enters a non-LC number in 090 • Triple Cuttering • Call number with volume number when Yale classes separately • When in doubt, check with original cataloger who can access ClassWeb

Constructing New Numbers (1) • New numbers will need to be constructed for member copy without 050/090 and original cataloging for locations using LC • Excluding the exceptions, catalogers may construct new numbers without reference to the Cutter sequence in Orbis • Cutter numbers may be constructed from the LC Cutter table or with the Cataloging Calculator:http://calculate.alptown.com/

Constructing New Numbers (2) • To minimize duplication, a minimum 3 digit Cutter is recommended • For new numbers, catalogers should continue to use Orbis to verify their classification decisions when in doubt • Using the Call Number Index in Staff Orbis is a quick way to check classification and will usually identify duplicate numbers • In the course of verifying a class number in Orbis, prefer to adjust the Cutters to fit the Orbis sequence if the order is evident

Retroactive Maintenance • A duplicate number will be reclassified if requested by a patron or if the duplication creates physical retrieval problems for Access Services • Maintain statistics on duplicates returned • Catalogers should generally avoid initiating reclassification of duplicate numbers • If a significant classification error is discovered retroactively, CMS may initiate reclassification
