  3. History • This is the seventh year of operation for the tree lot • 2002 – Sold 550 trees • 2003 – Sold 880 trees • 2004 – Sold 1,000 trees • 2005 – Sold 1,050 trees • 2006 – Sold 1,100 trees • 2007 – Sold 1,200 trees • Goal for 2008 is to sell 1,400 trees

  4. Types of Trees • Fraser Fir • The soft to the touch needles are flat and short, 3/8”-1 1/4” long with rounded tips and a silvery underside. The dark green color and pleasant fresh-cut aroma make this a frequently requested tree.

  5. Types of Trees • Balsam Fir • Its distinctive 1/2”-1 1/2” long dark green needles are soft to the touch. The aroma is uniquely fragrant. Its branches are layered and can support a variety of ornaments and decorations. 

  6. Types of Trees • Canaan Fir • Similar in appearance to the Balsam fir, its needles tend to be about one inch in length and vary more in color. The foliage can often be similar to the appearance of the Fraser fir. Relatively new to the Christmas tree industry.

  7. Types of Trees • White Pine • The lacy blue-green needles, 2”- 4” in length, are graceful to the eye and soft to the touch. It has a delightful pine fragrance and excellent needle retention.

  8. Hours of Operation • The tree lot is open seven days a week through approximately December 21. • Monday – Friday: 4:00pm – 8:00pm • Saturday: 9:00am – 8:00pm • Sunday: 10:00am – 7:30pm

  9. Common Questions • Where do the trees come from? • The trees come from a large tree farm in central Minnesota. They’ve won many awards for Christmas Trees at the Minnesota State Fair.

  10. Common Questions • Where does the money go? • All of the money goes to the maintenance and upkeep of the athletic fields. The fields are used by the school but also by the Edina Soccer Association.

  11. Sales Process • Greet customers in a friendly manner as they enter our tree lot.

  12. Sales Process • Ask the customer what kind of tree they’re looking for. Direct them to the appropriate trees. • Prices are clearly marked on tags attached to the tree. • Be polite and answer any questions the customer may have.

  13. Sales Process • Be available to help the customer but don’t be overbearing. Many people like to have time to browse the lot. • Don’t “double team” the customer. • Take the tree the customer selects out of the stand so they can take a good look at it.

  14. Sales Process • Carry the tree for the customer to the front of the lot for bagging.

  15. Sales Process • Ask the customer if they would like a wreath or some garland to go with their tree. • Cross-selling is important.

  16. Sales Process • Ask the customer if they would like a “fresh cut” on the bottom of the tree. • Only cut the bottom of the tree if the tree will be put up within the next few hours. • Direct the customer to the trailer so they can pay for the tree.

  17. Sales Process • Carry the tree to the customer’s vehicle and put it on top of or inside the vehicle at the customer’s direction.

  18. Sales Process • Be sure the tree is attached to the vehicle securely. Attach rope to car here

  19. Sales Process • Ask the customer to recommend the OLG tree lot to a friend or neighbor. • Wish the customer “Merry Christmas” and ask them to stop back next year.

  20. Reminder • Dress warmly • It can get cold standing on the lot

  21. Cashier’s Procedures • To start your shift, you’ll need: • Moneybag • 2008 Tree Lot Daily Sales Log

  22. Moneybag • Located in the drawer under the sales table. • Count your money! You should have $200 to start your shift. • ALL money, checks, coupons, credit card sales slips go into the bag during your shift. • At the end of your shift, put your Daily Sales Log Sheet into the bag along with all money, checks, coupons, credit card slips. • Place the Men’s Club Registration Form in the bag also (if you registered any new members or accepted dues) • Someone from the finance committee will be picking up the bag. The person responsible for the cash drop-off and pick up is posted in the trailer. • If no one picks up the moneybag, call one of the gentlemen listed at the end of these instructions.

  23. 2008 Tree Lot Daily Sales Log • Fill in shift captains name, cashiers name, date and shift time in upper right hand corner. • Every item sold, either pre-sold or new sale or combination of both will be recorded on this sheet. • The sheet is broken down into three (3) areas: • TREES:FF – Fraser FirsBF – Balsam Firs WP – White Pine CF – Canaan Fir • ACCESSORIES: Wreaths – 24” & 36” sizes 25’ Rope (aka Garland) Swags • NOTES: Space to note discounts or anything out of the ordinary Note the amount and reason for adjustment

Procedure for Collecting Money • Greet each person. • Thank them for buying from the OLG Men’s Club Tree Lot. • Tell them that the money goes to a cause…the field outside that not only the school but also the community at large uses. • Ask them if they have gotten everything they need…wreath…rope (garland)…swag • Ask if they are an OLG parishioner – if yes, ask them if they have formally registered with the Men’s Club – then ask if they would like to pay their dues

  25. Procedure for Collecting Money • Collect tags for tree and accessories from the customer. • Record each item being purchased with a “HASH MARK” in the corresponding column to those items. (ie: Fraser Fir 7’-$75; 24’ Wreath-$18) • Cash, Credit, Check, Gift Certificate Sales…ALL items are paid with cash, credit, check or gift certificate UNLESS they are listed on the Pre-Order List. • Pre-Order Sales…once verified on the Pre-Order List, record with a “HASH MARK” in the Pre-Order column under the correct tree size. If a customer wants to “upgrade” to a larger tree, collect the excess value and make a note in the “Notes” area of this excess amount. • Remember to check off the persons name on the Pre-Order List • Throw away the used tree tag

  26. Procedures for Collecting Money • Collect the Money … For each “HASH MARK”, total the sale and ask for payment. (ie: $75 + $18 = $93 Total) CASH Take and give change. If receipt is requested, use book in cash box. CHECKS Checks payable to: OLG MEN’s CLUB ENDORSE CHECKS IMMEDIATELY (Stamp in drawer) GIFT CERTIFICATES Collect the excess from the customer if the total order exceeds the value of the certificate

  27. Procedures for Collecting MoneyCredit Card Sales • Will accept Visa, Mastercard, American Express and Discover • Complete instruction sheet will be present in the trailer • Make sure to get customer signature and telephone number. Electronic Credit Card Capture Machine

  28. Procedures for Collecting Money • Notes…This is the area where you will make note of: • Any special situation that involves any discount from regular price. Examples of this would be: • $5.00 Off Coupon – Edina Soccer Assoc., Edina Soccer Club, Community Mailer • 50% Off – OLG Teachers and staff • Dues and other contributions • Any other items that the treasury will need know about your shift (expenses paid from cash bag, etc.)
