Getting Ready for Salary Planner • Salary Planner Committee • VPAA, HR, UNIT, Payroll, Budget, Financial Systems • Setting Goals and Timelines • Different for Academic vs. Administrative budget process • November – March • Decide early how far to roll out • We did a complete roll out to VPs, Deans, Directors • Establish support of VPs • Organization hierarchy chart updated, eclas updated • Planning for communication and training of end users

  4. Banner Set up for Salary Planner • Salary Planner Set up • Security • Create Extracts • Pulls all live pay records. • Adjustments made for certain faculty classes. (ie: 12 month salaried chairs, etc., had to create records for base salary, zero out 1 semester appointments) • NBAPBUD – Adjustments made for Faculty • Records not updated yearly, had to ensure accuracy • Eclas pull from NBAPBUD

  5. NTRINST – Position Control Installation Rules Salary Planner Tab • NSPACAT.SQL • Script that creates approval types and approval categories (ie; SPCSAL, SPCJLD, SPDHRS, SPCALL, SPTSAL, STJLD, STRHRS) • This enables EPAF’s to be created when running NBPSPUP (upload process)

  7. NSASPSC – Salary Planner Security Only affects org security within Salary Planner – does NOT affect other Banner HR security This Org Code covers all subordinate orgs in the entire College – appropriate for a Dean Example of a person who has access to more than one Org Code

  10. NTVBRPO – Budget Profiles • Can create budget profiles. Members of each profile must be assigned individually. For us = bad. • Used for people we wanted to keep out of general extracts. • Executives – we did use this profile to pull in all execs separately. • No Increases – for various reasons, these people were not pulled into any extracts (ie; STD, terms, new hires, etc)

NTRSPEX – SP Extract Rules • Identify who will be extracted from Banner into Salary Planner • Used on the NBPSPEX – Extract Process • Can only identify/categorize extracts by; • Employee Class – can choose all or individual • Bargaining Units • Budget Profile – can choose a particular profile • Extract nomenclature • Carefully consider extract names • Description, not extract ID appears in Salary Planner • We used Category (ie: Staff, Faculty, Service) as Extract Description • We used Fiscal Year (ie: FY 2007) as Scenario in Salary Planner

Employee Self Service Set up for Salary Planner • Establish access to Salary Planner in Web Tailor • Define the role of each user in Web Tailor Master Salary Planner(only a select few) Can create scenarios and modify initial scenario HR Manager(everyone else) Edit existing scenarios for orgs assigned in NSASPSC

Create Scenario – Master Salary Planner • Give forethought to your Extract and Scenario names • We used Group descriptor for Extract and Fiscal Year for Scenario (ie: STAFF, FY 2007) Create scenario here – In salary planner, this will appear as “Extract ID”, “Scenario” Staff, FY 2007 in our scenario.

  27. Locking the Orgs • Done at the conclusion of the salary planning process • Hierarchical in nature – higher org lock out subordinates • ie: Chairs lock their orgs, then Deans, then VP, then President • Can be “unlocked” by top of hierarchy

  28. Hiding/Removing EE’s from the Extract • Very helpful tool • STD/Leaves of absence • Terminations • Grant funded positions • Entrepreneurial positions • Positions funded by different departments

  31. Final Processing Steps – Apply EPAFs • NOPEAMA – Electronic Approvals Mass Apply • EPAF’s which have been created can be mass applied • NOAAPSM – EA Summary Form • View applied transactions • NBAJOBS – Confirm new records created

Communication / Training Plan • Salary Planner Ambassadors • Hands on training for each VP, Dean, Major Users • Time consuming but a good investment • Early communication • Easy to follow instructions • Continual follow up and assistance with changes • On-call for issues, questions • Salary Planner Committee Reporting • Created custom discoverer reports to monitor and analyze

Results • Eliminated manual, individual record update and checking process • Eliminated creation and distribution of complicated spreadsheets – SP is much more secure • End users have info at their fingertips all year round • Very well received, feedback overwhelmingly positive • Greatly streamlined salary review process • Reduced errors • Improved budget office functionality • Banner rounds automatically to 5 decimals

Next Steps • Create ESS salary letters to eliminate manual creation and distribution • Process feedback and work on incorporating suggestions • Removing superfluous information from SP • Mechanism to include salary grades and ranges • Investigate add/delete process • Investigate options for updating job labor distribution
