  2. ORGANISE AND COMPLETEDAILY WORK ACTIVITIES Regardless of your job role or responsibilities, every worker is part of a group or team. - Small team ( Small Business) - Large Team (Company, Organisation)

  3. YOU CANNOT WORK COMPLETELY ALONE! The way you work affects the other members of your team. Therefore, you need to know how to organise your work schedule so that you can work efficiently and complete your tasks on time. THIS UNIT WILL ANALYSE AND DISCUSS: Identifying your tasks Developing work schedules (plans) Understanding your organisations plans Managing your tasks.

  4. IDENTIFYING YOUR TASKS When you start a new job, your tasks are usually the first thing discussed. They should be listed in your position description. The range of tasks will vary depending on your position description. Some examples include, filing, answering the telephone, taking messages, attending to visitors, processing mail, preparing simple documents, letters, memos and photocopying.

  5. Activity 1 You have just started working as the administrative assistant at a local gymnasium, write down what you think that the position description would incorporate.

Position Description Administrative duties • Answer general enquiries about the Gymnasium. • File documents and retrieve documents from the filing system. • Organise storage of equipment and maintain a stockpile of them. • Prepare simple documents eg, letters, notices • Prepare, send and distribute mail by post or courier. • Book in times for classes eg, aerobics, spin class

  8. Timelines In order to ensure work is completed on time people must be organised. All businesses work towards timelines or deadlines .

  10. KNOWING WHAT’S INVOLVED • You must also clearly understand what is involved in each task. Misunderstandings can occur if you don’t have enough, or the right sort of information. You need to make sure that you, your supervisor and your colleagues understand and agree on your responsibilities.

  11. CASE STUDYWhat happens next? • Kate is working at the gymnasium. She receives a call from Miss Jones to book into the 5pm aerobics class from a client. Kate confirms the booking but can not find the booking sheet. The class has been well attended and is run with limited spaces. Kate takes another phone call and then has to take a one hour personal training appointment. In the meantime Bill has the booking sheet and has booked in two more ladies into the aerobics class and the class is full.

  12. CASE STUDYOops? • Miss Jones turns up at 5pm and finds she does not have a place in the aerobics class

  13. Activity 3 • What action can Kate take? • What went wrong in this case? • How could things have been done to avoid this situation? • What should Kate say to Miss Jones?

  14. FACTORS AFFECTING WORK There are many things that can stop us from completing our work. Such things as equipment breakdowns, supply failures, breakages, power failures, uncooperative work colleagues, inefficient work colleagues.

  15. Activity 4 • Pick five of the previously listed things that can affect your work requirements and explain how they can have an impact on you completing your work. • List three other things that could affect your ability to efficiently carry out your work duties.

TECHNOLOGY • In most businesses employees are required to use some sort of machine/technology. • Using technology can help you complete your tasks more effectively and on time. • You need to know what technology is available in your organisation, what technology you are required to use and how to use it effectively.

  18. TECHNOLOGY • Every workplace is different you may find there is a different photocopier, a larger phone system, another system for backup etc. If this happens you will need to find how everything works. You may need to: • Read a manual • Ask for a demonstration • Ask for some training

  19. Activity 5 • Using the list of technology present in the workplace: explain how when used correctly tow of these items could help you more effectively complete your work duties.

  20. REVIEW WORK PERFORMANCE • As you progress in your work you should continue to learn about your organisation., become more efficient and upgrade your skills. Learning new skills and improving existing ones is the best type of professional development. • Reviewing your work is therefore an important part of your working life.

  21. REVIEW WORK PERFORMANCE Some of the things that can help you review your work are: • Customer feedback • Workgroup feedback • Supervisor feedback Give an example of positive customer feedback. Give an example of workgroup feedback. Give an example of supervisor feedback.

  22. Activity 6 • You work in the local basketball stadium. You are the administrative manager. Your job is to ensure the smooth running of the games. Each week one of your umpires seems to be running late to work. This means that the games are not starting on time and the later fixture are also running late. What would you do? • List answer in your book

  23. Activity 7 As a business manager you need some feedback as to how your business is servicing it’s customers. Design a customer survey sheet which will be used to evaluate your business in terms of customer satisfaction

  24. SEEKING OPPORTUNITIES TO IMPROVE • You can find opportunities to improve yourself in any organisation big or small. Sometimes you will be offered opportunities without asking , other times you will have to show initiative and identify opportunities for yourself. • If this is the case use the following steps to help you: • Identify what is available • Discuss your options • Make a plan

  25. Activity 8 • Think about your performance, at work or study or in a sporting pursuit. • Name one area where you could improve • Identify your options for improvement • Set some goals for improvement • Prepare a plan for success.
