  2. First-Time Users Go to http://evora and log in using your TUID and password. Once you have logged in for the first-time, click on the TracMan, which will open up the Main Menu and click on “My Prefs”. A new window will open, simply click on “Save”, this is only a one-time process, AdvisorTrac will refresh automatically and will be populated as shown to the right.

  3. Creating Availabilities • On your calendar you should see appointments, drop-ins, on-call, multi-person class or groups. • On your calendar- simply click and drag, which a green block will start to appear as you move your mouse. • Once you release from your click and drag, an appointment will open, which at this point, you are able to choose from the 4 types of availability that you are scheduled for.

  4. Creating Availabilities- Appointments • Confirm schedule appointment times for availabilities • Appointments-Max 1 Student; Divide into Slots (00:30); Click Save

  5. Creating Availabilities- Drop-Ins • Click save without any changes to Availability time slot.

  6. Creating Availabilities- On-Call • On top right corner, uncheck – is Availability? • This will make top banner Red- in description-type in “On-Call Advisor”. Click save.

  7. Creating Availability – Multi-Person Class Groups • Max- 15 Students; top banner will turn yellow; click save.

  8. Multi- Person Class Groups • Currently, there is not an option to distinguish between the group or a scheduling block. *If this option were available we would be able to name the type of group. Unless this option becomes available, there is no way to distinguish between the Academic Success, Transfer, etc.

  9. Scheduling Appointments Next to the appointment times, there is a upside down purple triangle, click on it and a text box will appear. Type in the student’s Id # and a small window will appear with the student’s name. Click on the student’s name and the appointment window will open. In the appointment window, fill in the student’s Reason, Phone Number, and notes. Click save.

  11. Logging Students In/Out • Advisor’s with Appointments and Drop-Ins. On the top left corner of your screen, under the heading “Trac Navigation”, the text will scroll and let you know if the student has arrived for you or is ready for drop-ins. • The text will say “1 visit for you” means an appointment is here for you. • If the text says “1 visit for first available” means a person is ready for drop-in.
