  1. ACT 1014 4-Year Graduation Agreement Program (GAP) Advisor Training ACT 1014 GAP Implementation TaskforceUniversity of Arkansas at Little RockMarch 2006

To Be Eligible To Participate In GAP • Choose an intended degree program from the list of participating programs. • Submit all required admission credentials with test scores that exempt student from developmental course work. • Meet with major advisor before August 1. • Have no prior college credit (except credit acquired through Hall High School)

Continued Participation In GAP • Follow exactly the 8-semester degree plan for the intended major as outlined in the degree program contract. • Never change the major/minor program after the GAP contract is signed. • Have class schedule approved by official GAP departmental advisor and register for classes each semester during the EARLY (priority) registration period.

  4. Continued Participation In GAP • Accept any available course section that can be accommodated, or notify official GAP advisor in writing, before the first day of class that a contract variation and/or adjustment will be required. • Be continuously enrolled and complete 30-36 semester credit hours of approved coursework each academic year as outlined in degree-plan contact.

  5. Actions That Void GAP Participation • Dropping or failing a course • Withdrawal from University for any reason • Non-payment of tuition or fees • Disciplinary actions Decision to void contract will be FINAL!

  6. The GAP Violation of Degree Plan Contract Form must be completed and forwarded to the student’s major department or University College.

  7. Regular Admission Criteria • 2.00 grade point average on the Arkansas high school core • A cumulative high school grade point average of 2.50 • An official, passing GED test score • An ACT composite score of 21 or a combined verbal/math SAT I of at least 990 taken within the last five years

  8. Admission Status AA Complete Fully Admitted AB Complete Conditionally Admitted PA Complete Fully Admitted PB Provisional-now complete and Admitted Conditionally AC Admissions Committee PR Provisional; admission process not complete, student eligible to register

Advisors Roles And Responsibilities • To be familiar with institutional regulations, policies and procedures. • Assist students in selecting courses that reflect individual academic requirements. • Maintain an advising file for each student. • Inform students of support services available to them. • Participate in advisor training sessions to keep informed and current.

  12. Weekly Summary Report of ACT 1014 (GAP) Decisions As a college-level ACT 1014 (GAP) contact, you will receive weekly emails containing a comprehensive list of students who have applied for admission to UALR, and a summary of their GAP decisions.

  13. Explanation of GAP BANNER and BOSS Codes

  14. BANNER-SOATEST College-level advisors will prescreen each EP student by test scores to determine whether the student is required to enroll in developmental courses. Students needing developmental coursework are not eligible to participate in GAP. To view a student’s test scores, look at the SOATEST form in BANNER:

  15. ImageNow Results View When a student has transcripts sent to UALR, the transcripts will be scanned in the SR-Transcripts or Admissions drawers in ImageNow:

  16. Standardized Test Score Example from ImageNow If student test scores do not display in BANNER, access student information in ImageNow. Compare test scores against the Office of Testing Services’ Test Score Interpretation Checklist (see next page). NOTE:Scores marked as ‘Plan’ or ‘Explore’ ACT (top right example) are not accepted as official ACT scores for placement at UALR.

  17. Test Score Interpretation Checklist Following the guidelines explained in the following series of slides, you will use this form to interpret students’ standardized test scores for GAP participation eligibility.

  18. SAAADMS (second block) Admissions Checklist Even if a student is eligible based on test scores, he or she could have transfer credit and mistakenly applied to UALR as a first-time freshman. Prescreen for any transfer work by checking SAAADMS (next block to the Checklist Summary screen). NOTE:If no transfer work shows up in SAAADMS (BANNER), you may still need to check for transcripts in ImageNow.

Standardized TestsACT SAT ACCUPLACER • ACT or SAT required for students younger than 25 • When multiple ACT or SAT scores are submitted, the highest composite score is used for admission purposes. • Accuplacer Placement test is an option for students aged 25 or older, or international students.

If Student is ELIGIBLE… • Give student directions to building • Remind student to arrive early for parking • Remind student to bring PIN number Once the student has been pre-screened and deemed eligible, the departmental GAP advisor will make advising appointments with the students. Below are a few items to remember when corresponding with the student for the first time:

The Appointment • Introduce yourself and explain that advising is mandatory • Complete FERPA Policy Form if guests are present • Explain GAP Acceptance Form and Degree Plan Contract • Verify that student does not have previous college coursework (other than credit earned from UALR) Image of Degree Plan Contract still pending

  29. If student has non-UALR college credits … • Have student waive GAP participation by completing the GAP Acceptance/Waiver Form. • Give student Request to Accept Transfer Work Form. • Document that this action was taken.

  30. If student has non-UALR college credit… • Determine college courses taken. • Advise student. • Direct student to Academic Advising for his or her next advising appointment. • Send student’s records to Data Central, Ross Hall 411.

  31. If Student is Eligible… • Review test scores with student. • If student is eligible for “honors” courses, contact the appropriate department. • Does student have a Chancellor Leadership Corps. Scholarship? (PEAW 1124 is required the first semester; PEAW 2124 is required the second semester) • Student is eligible to enroll in up to 18 hours. • To approve hour overload – SWAOVRD

Advanced Placement Scores • Official score reports are sent to Office of Testing Services. • Advanced Placement credits are posted after first completed semester. • If unofficial scores are available, check for eligibility, exemption, or credit. • If unofficial scores are NOT available, do not rely on student’s memory of the score.

  33. Credit by Exam • Refer student to Office of Testing Services for information on CLEP Tests or departmental exams. • Student may work ahead (enroll in coursework before the semester stated on degree plan) but cannot fall behind.

The AppointmentExplain the following … • GAP Degree Plan Contract • UALR’s Core Curriculum • Recommended prerequisites for core courses • Meaning of department codes and course numbers (MATH 1302) • Requirements needed to declare major (student can not declare major until all departmental admission requirements have been satisfied)

  35. The AppointmentExplain the following … • Second Language Placement Test option • Registration process and deadlines • Schedule adjustment deadlines • Tuition payment deadlines • Importance of reading the Undergraduate Catalog • How and when to schedule next advising appointment

The Appointment • Complete GAP Acceptance/Waiver Form, Undergraduate Advisement Record, and GAP Degree Plan Contract • Advisor and student sign all three forms • Place original forms in student’s file • Advisor and student both receive a copy of each form • Clear GAP and Advising Flags-SWAADVS Image of Degree Plan Contract still pending

The Appointment • Assist student in preparing a schedule • Explain days/times classes are offered • Explain format in which classes are offered • Register student in BOSS using their PIN number (with student’s verbal permission) • Print two copies of schedule (one copy for the student and one copy for your records)

The Appointment Since GAP requires students to enroll in courses during EARLY registration period, remind student that the University will not drop him or her from enrolled classes for non-payment of the initial $100. Check Registration Pocket Guide for the last day students can adjust schedule

  40. The Appointment • Restate welcome to UALR • Restate how and when to schedule next advising appointment • Give student your contact information (preferably a business card or the equivalent) • Document all referrals and suggestions that student should follow-up with prior to next appointment

If GAP Student Decides Not to Attend UALR • Must officially withdraw from the University. • May withdraw from courses on BOSS prior to the first day of classes. • Must withdraw in writing after classes begin; student must contact the Office of Records and Registration (569-3110) for information.

Graduation Requirements • 124* credit hours overall (Bachelor’s degree) • 45 upper level hours overall (3000-4000 level) • 44 hours Core Curriculum • 30-40* hours in a major • 18-24 hours in a minor (if required) • Second language (if required) • Elective hours *Some majors require more hours.
