  2. Meetings are a critical part of a business scenario to meet, discuss and make decisions that help a company grow. Typically, meetings are transcribed into accurate transcripts with the support of general transcription services. In any organization, these gatherings are a useful strategy to connect with employees and engage in constructive interaction. Often, meetings turn out to be least productive and a waste of time. This happens when meetings are not properly planned and conducted. It is important to find a balance between productive work time and meetings. According to a report by Harvard Business Review, 70 percent of 182 senior managers surveyed said that meetings are unproductive and inefficient. 65 percent of respondents said that meetings prevent them from completing their work, 64 percent complained that it involves deep thinking and 62 percent said that they miss the opportunity to bring the team together. A study by Microsoft says that lack of proper communication, clear objectives and ineffective meetings are the major time wasters of an organization that leads to loss of productivity. According to Duncan Selbie, Public Health England CEO, meetings slow down metabolism, reduce the body’s capacity and increase blood pressure which further leads to obesity, cancer, diabetes etc. Yet another study from Harvard Business Review in 2014 found that three consultants examined the Outlook schedule of the employees from large companies and concluded that one weekly executive meeting ate up to a dizzying 300,000 hours a year. So here are a few tips to make meetings productive. Many companies do not go for conventional type of meetings; they try walking meetings and stand-up meetings. This strategy helps to make meetings shorter and more productive. Keep track of time and stick to the limited time. Having a predefined agenda before the meeting helps in effectively communicating with the attendees and ensures the meeting objectives are met. Do not conduct meetings only for updating business progress. Business updates can be distributed among employees via emails or any other means. Make sure that there are specific and actionable follow-ups to decisions made at the meeting. There should be a clear understanding regarding who is responsible and accountable for any success or failure. Make sure to start the meeting on time to prevent waste of time. Do not allow participants who are late to the meeting by 15 minutes or more, and do not spend time to update late arrivals. www.legaltranscriptionservice.com 918-221-7810

  3. If any employee wants to decline the meetings, then allow him/her to do so and do not impose any penalty on them. Do not have a large group for the meeting; limit the number of participants to no more than nine. If you are the host of the meeting, control the discussion and do not let anyone else dominate the meeting or repeat what is already discussed. All the details of the meeting can be shared, so that everyone in the team is kept updated. Make sure not to miss out on people who must surely be invited. Schedule the meeting in the afternoon because morning meetings can be stressful. In case you have multiple meetings, then try to schedule them in a row to leave more time for deep work during the rest of the your day. Keeping meetings short and conducting them efficiently would enable the attendees to focus on the meeting and avoid distractions. As mentioned earlier, with meeting transcription from professional transcription services, all important decisions taken in the meeting can be transcribed into accurate notes. www.legaltranscriptionservice.com 918-221-7810
