Concept Preview • Grammar Checker: advises you of incorrect grammar as you create and edit a document, and proposes possible corrections. • AutoText and AutoComplete: make entering text easier by providing shortcuts for entering commonly used text. • Spelling Checker: advises you of misspelled words as you create and edit a document, and proposes possible corrections. • AutoCorrect: makes some basic assumptions about the text you are typing and, based on these assumptions, automatically corrects the entry.

  3. Concepts Preview • Word Wrap: automatically decides where to end a line and wrap text to the next line based on the margin settings. • Font and Font Size: the typeface is a set of characters with a specific design that has one or more font sizes. • Alignment: positioning of text on a line between the margins or indents. There are four types: left, centered, right and justified. • Graphics: non-text element or object, such as a drawing or picture that can be added to a document.

Word Window • Standard Toolbar – frequently used • Formatting Toolbar - appearance • Document Window - file • Ruler – line length in inches • Insertion Point/Cursor – blinking vertical bar • End-of-File Marker – solid horizontal line • Pane – separate area, independent navigation • Status Bar – text and cursor location

  6. Developing a Document • Use MS Word for all of your document planning, creation, editing and finalization. • Plan • Enter • Edit • Format • Preview and Print

  7. Entering Text • Note Tab (stops every .5 inches) and Margin Boundary Markers on the document Ruler. • Backspace (left) vs. Delete (right) • Enter Key – ending lines and inserting blank lines • Formatting Marks – Show/Hide Button (Standard Toolbar) or Tools  Options  View  All

  8. Moving Through Text • Shortcuts: • Ctrl +  = Next word • Ctrl +  = Back word • Home = Left end of line • End = Right end of line • Ctrl + Home = Top of document • Ctrl + End = End of document

  9. Grammar Check • Grammar checking occurs after you enter punctuation or end a line. • Errors are identified with a green wavy line. • To correct or examine, right click the incorrect word or phrase: • Ignore Once • Grammar • Look Up

  10. AutoText and AutoComplete • Insert  AutoText  AutoText  Show • AutoText = shortcuts to enter commonly used phrases (Insert  AutoText) • You can add your own AutoText phrases (Insert  AutoText  AutoText) • AutoComplete = select recommended AutoText entries by using the enter key.

  11. Spell Checking • Compares each word you type to a main dictionary of words supplied by the program. It may also check its custom dictionary that the user builds. • Options  Spelling & Grammar  Custom Dictionaries  Modify • Spelling errors are identified by a red wavy line. • To correct or analyze, right click on the misspelled word or phrase. • Ignore All • Add to Dicionary • AutoCorrect • Language • Spelling • Look Up

  12. AutoCorrect • Makes basic assumptions about the text you are typing and automatically fixes basic mistakes. • AutoCorrect Entries • Caps Lock Key • Spelling & Grammar Rules • Tools  AutoCorrect Options

  13. Word Wrap • A feature that automatically decides where to end a line and wrap text to the next line based on the margin settings.

  14. Smart Tags • A feature that recognizes and labels data such as names, addresses, telephone numbers, dates, times, and places as a particular type. • Tools  AutoCorrect Options  SmartTags

  15. Saving, Closing and Opening Files • .doc file extension • Others available, such as .txt • Windows files can have up to 256 characters in the file name. • / ? \ ; : * “ < > cannot be used • Tools  Options  Save

  16. Scrolling a Document • Mouse: Scrollbar Buttons available for line and page navigation. • Keyboard: Ctrl + Home, Ctrl + End, Page Up, Page Down and Arrow Keys (with or without Ctrl)

  19. Formatting a Document • Character Formatting = affects the selected characters only • Paragraph Formatting = affects the entire paragraph • Reveal Formatting Task Pane (Shift + F1)

Fonts and Font Sizes • A font, or typeface, is a set of characters with a specific design. • Serif Fonts: have a flair at the base of each letter that leads the reader to the next letter. • Courier New • Times New Roman • Sans Serif Fonts: no flair • Arial • Helvetica • Font Size is the height and width of the character, commonly measured in points (pt) • One point = 1/72 inch • TrueType = automatically installed when you install Windows. • Editing: • Format  Font • Reveal Formatting Task Pane • Formatting Toolbar
