  3. Situation Complexity Question Answer What is the objective • Provide tools to access and manage the web pages and REIL DSS marketing content that display on the MCESA Visitor Site (“MCESA Site”) • Provide access point from the MCESA Site to the REIL DSS application via a login link

Maricopa County ESA [MCESA] has contracted with Schoolwires to implement a new website that facilitates communication with its stakeholders for the Reward Excellence in Instruction & Leadership [REIL] project. Situation Complexity Question Answer Why • Site with clearer message and branding for MCESA • Provides mobile-friendly version of the site that allows stakeholders and community to stay connected • Seamless integration with RDSS/PODCT application • Easily self-maintained site by MCESA with content that is current and readily accessible

Situation Complexity Question Answer How will the project be delivered • What technology will be used? • Schoolwires • Design and develop MCESA Site using Centricity2 • MCESA personnel creates marketing content for MCESA Site • Provide Centricity2 content management tools & trainingto MCESA personnel • Work with ADE to migrate MCESA Site to ADE servers • Handoff MCESA Site management to MCESA personnel • ADE • Provide web & application servers to support MCESA Site • Provide new link from MCESA Site to EduAccess login function from which RDSS/PODCT may be accessed – to be confirmed

Situation Complexity Question Answer Architectural viewpoints • What is the high-level functionality ? • The MCESA Site should: • Provide access to REIL DSS marketing collateral that has been published to the site that is available to any visitor, regardless if they have login credentials or not. Content on the site may be in the form of download enabled public videos and documents, text and image files, and surveys to collect feedback. • Provide a link to access the login function, which should accept credentials (i.e. user name and password) and if valid provide navigation to RDSS Landing Page and allow access to PODCT application • Note: There are no other system or application interfaces MCESA Site (Visitor) – High-Level Functional Model

Situation Complexity Question Answer Architectural viewpoints • How is information managed and distributed? • Web & Database Servers using MS SQL Database • Will need to store marketing content including illustrations, video, document files, and text • What development tasks are required? • Provide capability to login to MCESA Site to use Centricity2 tools to manage the site (Schoolwires) • Provide link from MCESA Site to login function instead of logging directly into RDSS/PODCT (ADE or Schoolwires) • What is the estimated amount of usage? • Initial: REIL Alliance districts, up to 17 LEA’s • Future: Expansion to 225 LEA’s

Situation Complexity Question Answer Architectural viewpoints • Deployment: • MCESA Site: ADE Hosted • Operations: • MCESA Site should be available for access in accordance with current ADE policy for web site availability • SLA for server support is expected to follow current ADE help desk support availability and protocols - 7 AM to 6 PM Local time • Backup & Recovery is expected to conform to current ADE policy & procedures • MCESA personnel to self-manage site & content using Schoolwires Centricity2. Note: MCESA will need to make decisions about content retention and archival needs. • From the available support model options: interim, short-term, and long-term, none has been selected

Situation Complexity Question Answer Budget Overview • Funded by MCESA • Schoolwires IT Development: • $16K for year one • $7.7K annually for maintenance • Not Funded by MCESA • Hardware/Infrastructure: • ADE Server Acquisition, Setup, & Burn-In Cost: TBD. • ADE Server Annual Support Cost Projections: TBD. • IT Help Desk: TBD since support model to be adapted still under consideration • IT Development: Not Required for future change requests to MCESA Site

Situation Complexity Question Answer Supplemental requirements • Constraints • Time: Must implement MCESA Site NLT 5/25/2012 • Dependencies • Schoolwires to provide training materials, tutorials, and training videos as necessary by 5/10 • Servers installed, configured, & burned-in at ADE by 5/16 • MCESA personnel training on Schoolwires website and content management tools completed NLT 5/25 • Risks • Servers need to be installed at ADE by 5/16 • Ensure that Users can access PODCT even when MCESA Site is down • Possible 48 hour site outage during cutover to ADE servers • Support model to be adapted still under consideration • Implementation and projected data volumes not yet quantified for each content type
