  2. SIGN ON SCREEN Enter your log in details Username: TBA Password: TBA On your first ever log on you will be asked to change the password

  3. WELCOME SCREEN • The main menu runs vertically in the blue bar down the left hand side of the screen • 1 Agreements • 2 Debtors • 3 Ledger • 4 Data Exchange • 5 Reporting • 6 Administrator • A second sub menu runs from left to right off all of the main menu options

  5. 1 AGREEMENTS (SUB MENU) 1.1 Agreement Summary - based upon user access, this displays the Service Agreements which can be viewed within Halo. From here Out-Payments can be requested & various analysis can be carried out in graphical representation. You are able to set this dashboard to appear as you with by clicking on the x if you want to remove a particular widget or by right clicking within the dashed lines with the greyed out area and then selected which widget you wish to view. Whatever you set will be the retained view when you log in next time. 1.2 Movements - displays a list of out payment, assignments and in payments for this month, last 30 days, year to date or a specific date range depending on what timeframe the user selects. 1.3 In-Payment Enquiry - this screen displays a list of In-Payment entries, i.e. debtor payments applied to the account, for each day in the specified date range 1.4 Out-Payment Enquiry - displays the current status of any Out-Payments specified by the status and date range entered by the user 1.5 Ageing obtains a summary of the overall ageing position of the ledger at a given time. 1.6 Statistics - this screen displays a summary of the main transactions for the Service Agreement in the given date range. With the exception of Dilution, Collectability and Sales Ledger, all other figures shown are net values.

  6. REQUESTING AN OUTPAYMENT Click, Agreements - Agreement Summary – Request Funds. Select the payment type you would like from the drop down box (BACS or CHAPS).

  7. REQUESTING AN OUTPAYMENT The amount requested automatically defaults to the maximum you are able to draw down however this can be overtyped with any value less than this.

  8. REQUESTING AN OUTPAYMENT Click request funds you will then be asked to confirm you are sure.

  9. REQUESTING AN OUTPAYMENT Click are you sure to confirm. A message will then flash up in the top right to advise that the request for funds has been successful.

  10. 2 DEBTORS (SUB MENU) 2.1 Search for debtors by name, ID (debtor number), city or postcode. On an Invoice Discounting facility there is only one debtor.

  11. 3 LEDGER (SUB MENU) 3.1 Ledger Item Search - allows you to search for items from within a date range, currency or value of your choice. 3.2 Ledger item Analysis - the ledger can be analysed in a number of ways (for example for all items that have been sent a final reminder etc). 3.3 Schedule Entry this is where you upload invoices manually. Create a header for the total value of the batch then add all of the individual invoices that make up the batch.

  12. 3 LEDGER (SUB MENU) continued • For invoice discounting the type will default to Bulk ID Batch and the debtor name will default to Sales ledger control account. Please then enter the following: • Doc.No - Your batch reference that will enable you to cross reference back to the individual invoices on your system. • Doc.Date – the date the invoices are being uploaded • Invoice Items – the number of invoices within the batch • Credit note amount - total value of any credit notes (leave blank if there aren't any) • Credit note items – the number of credit notes within the batch (leave blank if there aren't any) • Then click submit schedule.

  13. 3 LEDGER (SUB MENU) continued A box will appear asking you to confirm that you are happy with the batch, if it is correct please click confirm. A message will flash up in the top right to confirm that the batch was successfully sent

  14. 4 DATA EXCHANGE Data exchange enabled you to upload a file of invoices, however, this is only relevant to those on a factoring facility (not useful for invoice discounting).

  15. 5 REPORTING (SUB MENU) • 5.1 Request Report - various reports can be requested and view including: • Client Statement • Client Summary • Movement Report • Bulk ID Disapprovals Summary

  16. 5 REPORTING (CONTINUED) Select the report you would like to request along with the timeframe and what output method of how you want to receive the report. In addition scheduled reports are automatically produced. Whether reports are requested adhoc or produced on a schedule they are all displayed in the bottom section. Highlight the report in question and then click view.

  17. 6 ADMINISTRATION (SUB MENU) 6.1 User Account - from the Administration option on the main menu you are able to view all Halo users for the agreement in question

  18. 6 ADMINISTRATION (CONTINUED) You can change the password for the user by highlighting the user name then clicking edit user

  19. LOGOUT When you have finished using the system please click logout which is displayed at the top right hand side of any screen
