  2. Getting Started • Obtain a list of Scoutmasters • List should include the following • Home phone number • Mailing address • Troop number • Troop Meeting Place • List can be obtained at Scout Office

  3. Getting Started (Continued) • Recruit Helpers • Need multiple helpers to make calls • Need helpers to get mailers out • Need helpers to conduct CP/UE’s • Need helpers to stay organized • Need helpers to answer questions • YOU WILL NEED LOTS OF HELP!

  4. The Calls • Introduce Yourself • State Purpose of Call • To explain the OA • To schedule a CP/UE Visit • To Promote Scout Camping • To Answer Questions • Set Date, Time, and Place • Day of visit • Time of visit • Place of visit

Follow Up • After calling all Unit Leaders in your Chapter you need to follow up on your plans. • Mail the unit leader everything that will be covered during you visit. • Call each unit leader about 2 weeks prior to the visit and again 1 week prior to confirm and finalize any plans that have been made for the visit.

  6. The Mailing • Should include the following: • The eligibility requirements for both youth and adults. • The election and camp promotion visit procedures. • A copy of a CP/UE Form

  7. The Visit (Arrival) • Meet with the Scoutmaster and discuss the following: • Order of the Election • Election Procedures • Balloting • Review the list of Eligible and double check their eligibility. • Review the Camp Promotion presentation.

  8. The Visit (Unit Election) • Introduce yourself to the Unit • Show the Unit Election Video • Re-iterate that this is NOT a popularity contest • Review with the Unit the way the ballots will be casts • Can vote for as many as on the ballot • Vote only once • Do not discuss votes with each other • Count the Ballots • Only the Election Team and the Team Adviser should count the votes • Upon permission of Unit Leader either announce the results or keep them secret only known to the Scoutmaster.

The Visit (Camp Promotion) • Tell Unit why it is important that they go camping. • Helps increase in rank • Helps unit by experience teaching • Helps council through Summer Camp numbers • Show the Camp Promotion Video. • Give WTGC Guide to Scoutmaster. • Give personal recommendations for camping locations. • Give personal ideas on how to make Troop Camping Trips more interesting.

  10. The Visit (Conclusion) • Thank the Troop and Scoutmaster for allowing you to come visit. • Answer any Questions that the Troop or Scoutmaster may pose. • Complete the CP/UE Form before leaving • Remember the Scoutmaster signs his name before the Election takes place (After he signs he can not add or remove any names from the list of the eligible candidates).

  11. After the Visit • Call the Scoutmaster • Tell him of the Next Call-Out opportunity that his candidates will have. • Thank him again for letting you do the visit. • Answer any further questions that he may have. • Send a letter with the following: • Information concerning the next Call-Out opportunities. • A list of the candidates elected from that unit. • WTGC Guide (If not given at visit).

  12. After the Visit (continued) • Send a copy of the CP/UE Form to the following people: • Steve Hunt (CP/UE Adviser) • Your Chapter Chief • Tripp Clark (Lodge Adviser) • David Hutto (VC Inductions) • Make a note of those Units contacted and did not either receive a response or no visit was desired. Send that information to the same people above.
