  2. STEP ONE COMPLETE A DONATION FORM These are available in your registration pack, at Team Meetings and from our Treasurer Please take some spares

  3. Completing your Donation form • EVERY banking you hand in needs to be sent with a completed donation form. These are available in your registration pack, at Team Meetings and from our Treasurer. Please take some spares • Please provide a breakdown on the form of how your money was raised, for example, £50 Coffee morning, £120 Cake Sale, £75 Collection goblet, £20 Candle of Hope • For Candle of Hope donations, please include the total collected on the donation form, but there is a separate form available from the Candle of Hope team (or inside the candle bags) to be filled in by each donor where applicable, for Gift aid reasons

Gift Aid • For PERSONAL Donations ONLY, (this includes Candle of Hope bags) please ensure that the donors details are filled in correctly and completely and where relevant, the Gift aid section is completed • Gift Aid can only be ticked if the donor is currently a UK tax payer • Their details need to be completed in FULL, including a full HOME address and postcode (NOT a work address) • Only personally donated monies can qualify for Gift Aid, you cannot claim it on money received from multiple donors/sources i.e. cake sale, coffee morning, ticket sales, raffles etc. There is a separate section on the donation form for these non-gift aid able monies

STEP TWO Hand your money and Donation form to our Treasurer and Accounting team • at a Team meeting/ Banking night • or arrange an alternative drop off time and place • or invite us to your event to collect it Contact our Treasurer Julia • at Julialchambers@aol.co.uk • or call/text 07801 948 353 BANKING YOUR CASH

  6. Counting your money • Where possible, please can you count your fundraising BEFORE bringing it to us for banking. • It takes time to verify how much you have collected. If you have counted and bagged it first, it is a big help. • Sometimes you may be issued with a receipt which states ‘uncounted’ or ‘unverified’. This will still be the same reference number you will need for your records, so keep it for when the amount is agreed with the banking team.

  7. Your receipts • You should be issued a receipt for allmonies handed in • This is important for your records. Keep this safe, you will need it to verify your off line donations • This receipt has a unique reference number in the top right corner • It will be filled in with details of your team and how your money was raised

  8. STEP THREE Adding the funds to your team’s web page

  9. Your On-line fundraising page • Once you have handed in your money and received your receipt, you need to enter the ‘gift’ onto your Team Fundraising page. • Sign in to your Participant zone, using the login you created when you registered

  10. Click on the ‘Fundraising Progress’ tab Click on ‘Enter New Gift’ . . .

Entering your BANKED fundraising For items such as Cake sales, please enter the First name as ‘cake sale’ and the Last name as the reference number on your receipt If it is a personal donation, you enter the name of donor plus your reference You do not need to fill in an email address Then click on the tab‘Additional gift entry fields’ The only extra field you need to complete is the ‘Recognition Name’ Enter the name of the person or the event name e.g. Cake sale. This is how the donation will show up on your page

  12. ‘Yes, display the amount of this gift’ This must be ticked, or the amount will NOT show on your fundraising page Enter the amount Select whether the money you banked with us was Cash or Cheque Click ‘Add’

  13. If you enter an off-line donation without a reference code, it will NOT be verified and therefore will not be included in your total raised Your banked donation will then be reconciled with the ‘new gift’ that you have entered using the reference number you provided. Once the accounts team have verified the amount, it will then show on your fundraising page total

  14. For On-Line donations, made via the website on either your team or individual fundraising pages. The amount will automatically appear and will be added to your own totalizer as well as the Team’s and Buckingham Relay’s Your Incentive Points for fundraising progress will then automatically be updated as you achieve each next target level
