  1. EVN Scheduling Alastair Gunn

  2. EVN Proposal Pool Database of all eligible observations (regular sessions, eVLBI, OoS, triggers) Historic Eligible Proposals i.e. that haven’t expired Latest Approved Proposals from EVN-PC

  3. EVN Proposal Pool Database of all eligible observations (regular sessions, eVLBI, OoS, triggers) Check Station Status What is/is not possible next session Restrictions on bands/telescopes Split By Band Sort database into bands L, C, M, K, Q, X, P Retain per-session observations

  4. Split by EVN-PC Grade 1.2, 1.3, 1.4, 1.5, 1.6 Same grades only distinguished by GST Drop Sparse Bands Throw out any band with too few eligible observations Return To Pool

  5. Same-Session Observations Throw out any proposals that can’t be done because band will not be observed Required Dates/Times Determine any observations which require specific dates/times (e.g. RadioAstron) Return To Pool

  6. Define Order of Bands Non-KVAZAR bands at weekends LBA at start or end of session Plot Bands by GSTrange How many days per band does it take to observe all proposals of a given grade? Determine Simultaneous Bands e.g. run M-band and P-band together Depends on GST ranges

  7. Negotiate Globals First VLBA, VLA, GBT, DSN (Ro, Go), LBA Can take many weeks Return To Pool PI Input Array, GST range Schedule High-Grades First Depends on GST, adequate gaps, KVAZAR restrictions, station requirements etc.

  8. Add Monitoring FFTs, NMEs, Calibration Runs Usually during office hours JIVE Input Disk Availability PI Input Array, GST range Add Lower Grades Depends on GST, adequate gaps, KVAZAR restrictions, station requirements etc.

  9. Iterate Lower grades can be observed first Adjust due to PI requests, disk availability Return To Pool Input JIVE, PIs, Stations Iterate

  10. Iterate Iterate Iterate Iterate Iterate

  11. Version 0 Block Schedule Stations Only; Final Adjustments Version 1 Block Schedule PIs; Final Adjustments Version n Block Schedule Public Version; More ‘Final’ Adjustments Observations!!!

  12. Factors Determining Whether Your Proposal Gets Observed Your Grade (but the target changes!) Disk Availability (the most critical factor) Your Requested Media (how large is too large?) Your Requested GST Range (everyone wants the same!) Your Requested Band (particularly for globals) Your Requested Array (which do you really need?) Your Requested Time (the less specific the better) Your Requested Cadence (can’t guarantee anything!) Availability of Stations (globals, GBT, Ar, DSN, China) Availability of Band (not always all stations) Station Capabilities (changing all the time) Correlator Capabilities (changing all the time) Station Failures (they do happen!)

  13. Maximising Your Chances Get a Better Grade! Ask For What You Want (But Don’t Expect To Add To It) I will schedule what the proposal asks for Additions require the intervention of the EVN-PC Be sure about GST, dates, array, bands etc. Ask For The Minimum To Achieve Your Aims Or ask for more and hope for the best Or make it clear there is a minimum requirement Reduce The Number of Restrictions; Adding to parameter space narrows the window; Array, External Telescopes, Date, Time, Session, Year, Cadence, Disk Space, Multiple Bands, Band Cadence
