MT RolesSpecials Team MT • Specials Team MT Role: • This team fills in on understaffed accounts • This team helps accounts going through JCAHO, etc.  • This team helps out on go lives Requirements of a Specials Team MT: • High-level MT • Ability to work in a fast-paced environment • Enjoys switching accounts on a regular basis • Enjoys change • Needs to be flexible

Quality Control Specialist/Editor • Quality Control/Editor Role: • Edits and transcribes as needed • Nurture, teach MTs through providing positive feedback • Grades reports fairly and consistently • Editor is encouraged to share resource information with Supervisor • Other duties as assigned by the Supervisor

Mentor • Role of a mentor: • Help transition newly hired MTs to production environment • Set weekly production, quality, and editing goals • Provides weekly/daily feedback to mentees • Problem Resolution Skills • Evaluate progress and adjust affinities/queue as necessary • Edits mentees to verify stats and provide feedback

  6. Account Lead • Role of an Account Lead: • Trains new MTs on the account specifics • Answers account specific questions from the MTs • Creates samples • Researches client returns • Provides feedback to MTs on client returns • Maintains the account specifics and updates periodically

  7. Operations Supervisor • Operations Supervisor Role: • Leads a team of 50-70 MTs and Editors • Mentor, coach and develop MTs and Editors • Maintain production objectives, editing ratio, and quality standards required • Manage workflow/capacity of accounts assigned • Responsible for meeting TAT and quality requirements of accounts assigned • Manage timekeeping system • Support new customer startups • Performs editing as necessary

Team Assistant • Role of a Team Assistant: • Assist with mentoring, coaching and developing MTs • Create sample reports • Update reference materials as needed • Assist with monitoring workflow, STATs, and problem jobs that require attention • Provide account-specific on-line training to new MTs • Cover for Operations Supervisor absences • Rotate weekends on-call with other assistant supervisors

Quality Auditor • Quality Auditor Role: • Responsible for monitoring the quality of our HIM documentation service products on all levels • Gather data for quality audit reports, i.e., monthly quality reports, focused audits, etc.   • Works closely with operations, trainers, and account managers to address quality issues on their accounts

Staffing Specialist • Staffing Specialist Role: • Provide initial screening of resumes based on the facility’s requirements • Update/maintain staffing and applicable database • Perform phone interviews with qualified candidates • Conducts interview, determine rate of compensation and extends job offers • Performs reference checks as needed • Complete appropriate paperwork to initiate hiring process • Communicates with other departments requiring hiring needs • Identifies sources of potential candidates

Career Path Development Specialist • Career Path Development Role: • Identify the skill development needs/process for each career track; support implementation • Develop the support processes for each development track • Develop and implement plans for identifying and placing Career Path participants • Identify key indicators of program effectiveness • Evaluate the above indicators and implement improvements based on program data and feedback

Trainer • Trainer Role: • Responsible for preparation and delivery of training modules related to the transcription platform/company • Communicate development plans and goals to trainees • Gather and review performance data on trainees from practice activities • Assess trainee’s skill and knowledge needs • Provide feedback to trainees based on performance data and observation • Apply course/module evaluation as relevant to improve session delivery

  13. Workflow Coordinator • Role of workflow coordinator: • Monitors incoming and outgoing work • Work allocation • Monitor MT’s productivity • TAT monitoring • Alert MTs when files are getting low on TAT • Devise strategy to improve productivity of MTs

Nighttime Coordinator • Nighttime Coordinator Role: • Coordinates completion of key after hours duties of answering customer and MT calls • Monitors and completes stat requirements • Clears aged reports • Adjusts work pools as necessary • Transcribes as necessary • Has no managerial authority with respect to MTs

Client Training Specialist • Role of a Client Training Specialist: • Serve as a primary subject matter expert and contact point for client training • Resolve day to day problems and issues related to training • Develop online modules for client self-training • Work with client representatives to identify client training upgrades and additions • Compile long-term client training schedules and calendars for ongoing offerings • Review and publish online content as needed
