AQIP Systems Portfolio Steering Committee (ASPSC) • Purpose: The AQIP Systems Portfolio Steering Committee is responsible for providing guidance and overall strategic direction for the preparation of the 2011 Systems Portfolio. The ASPSC Co-Chairs will report to the President, and will provide counsel and support to the Vice Presidents and Associate Vice President (ELT) in their role as Category Leaders. • Responsibilities of the Steering Committee: • Facilitate on-going communication with the campus community • Provide AQIP overview, roles of the Steering Committee, Category Teams, etc. • Provide periodic updates regarding progress to all stakeholders using a variety of mediums (communication plan) • Establish process management system for sharing documents, data resources, etc. (shared folder, SharePoint, Angel) • Facilitate collection of data to document progress on current AQIP Action Projects to share with Category teams • Identify and recommend three new Action Projects that address institutional priorities ; establish Action Project teams • Provide end-products from the work of the 2010 AQIP HOT teams (Top 13) • Provide templates and a timeline for the work of the Category teams • Review recommended action plans submitted by Category teams to address gaps in meeting AQIP standards; provide feedback in the form of recommendation of processes and activities that will provide data for decision making and improvement • Review draft Portfolio submissions for each Category; provide feedback as outlined above • Establish process for requests for data from Institutional Research • Draft 2011 Systems Portfolio

AQIP Systems Portfolio Category Teams • Responsibilities of Category Leaders (ELT): The Vice Presidents and Assoc Vice President are responsible for leading portfolio development activity for their assigned categories: • Become well versed in the AQIP categories (particularly those they will lead) and reporting framework (Process, Results, Improvement) • Each Category Leader to appoint 1 ASPSC Liaison for each Category they are assigned • Liaisons will serve dual roles: (a) member of the AQIP Systems Portfolio Steering Committee, and (b) member of the Category team • Consider appointing Liaisons who represent the units led by the Category Leaders to provide for cross-functional perspective • Create a Category team for each area they are assigned • Create a timeline for the work of the Category team within the timeline established by the Steering Committee • Assign responsibility for specific Process, Results, and Improvement standards to individual team members to research, document, and report back to the team • Work with the Category team to draft a recommended action plan to address critical gaps in meeting AQIP standards for the Category • Work with the Category team to submit a draft of the Category for the Portfolio to the Steering Committee

AQIP Systems Portfolio Category Teams • Responsibilities of ASPSC Liaisons: • In their role as Category team members, ASPSC Liaisons are expected to: • Work with Category team to facilitate the review and documentation ofthe relevant Processes, Results, and Improvements for the Category • Work with the team to facilitate the identification of critical gaps in how the College meets the AQIP standards, draft a recommended action plan to address gaps, and submit to the Steering Committee • In their role as Steering Committee members, ASPSC Liaisons are expected to: • Present to the Steering Committee and Category Leaders any recommended action plans to address critical gaps in meeting the AQIP standards , as outlined by the Category team on which they serve • Provide periodic updates to the Steering Committee and Category Leaders regarding review and documentation of Category standards for the Category team on which they serve • Provide feedback and direction to all Category Leaders on action plans and Category drafts • Responsibilities of Category Team Members: • Team members will be responsible for reviewing and documenting the relevant Processes, Results, and Improvements for the Category • Each Category team will identify critical gaps in meeting the AQIP standards and will work with the ASPSC Liaison, Category Leaders, and AQIP Systems Portfolio Steering Committee to develop an action plan to address them • Work with the Category Leaders (ELT) to draft the Category submission for the Portfolio
