About Email • Electronic mail; a system that allows messages to be transferred from computer to computer • Email service is usually provided by a company such as Hotmail, Gmail, or Exchange; an email program is the software on your computer like Microsoft Outlook. • You send messages using an email address, a unique identity provided by the email service. • Ex.: jdoe@gmail.com

  3. Checking Email in Outlook 2010 • To open Microsoft Outlook, click the Start button • Double-click the Outlook icon

  5. Outlook 2010 – Your Inbox • Your inbox is a folder that stores all of your incoming messages. • Double-click on messages to open them. • When you’re done reading, you can reply, forward, delete, or file them in another folder.

  6. Sending an Email Click the New Email icon in the Home tab to open up a blank email.

  7. Sending an Email Type the email address of the person you’re sending your message to here. Your message content goes here. When you’re done, click Send.

  8. Replying to an Email Just click on the Reply button to respond back to the email.

  9. Deleting a Message Clicking Delete sends the message to the Deleted Items folder, but the message still counts against your mailbox size.

Deleting a Message • In order to keep your mailbox from getting too full, you will need to clean out mail that you no longer need. • Right-click on the Deleted Items folder and select Empty Deleted Items • NOTE – Be sure to empty the messages in your Deleted Items folder periodically to free up space in your mailbox.

  11. Managing Your Mailbox Size • If your mailbox is on your company’s server, then your network administrator has probably set a limit on the size of your mailbox. • When the mailbox reaches near capacity, you will get a message from the email service that your mailbox is over its size limit. • When your mailbox reaches its size limit, you will not be able to send or receive new emails until you clean it out.

  12. Managing Your Mailbox Size The Mailbox Cleanup feature lets you view the size of your mailbox and its folders. You can delete files to decrease its size.
