  1. Using Student Manager Function Keys An ACEware Webinar Tuesday, April 1st 2-3 pm.

  2. Function Keys Agenda • Quick Count Report F2 • Quick Room Use Ctrl+F2 • Instructor Talent Search F3 • Payment History Alt+F9 • Dashboard Report F9 • Special “Action” Keys • Macro Keys • Questions

  3. Quick Count - F2 • View or print enrollment counts for upcoming courses • Choose to see courses from 2 to 90 days out, or enter custom dates • You can also select courses that match a specific criteria.

  4. Press the F2 key anywhere in Student Manager (except the Reporting Menu) Begin by specifying whether to view (screen) or print the report.   Select options Click OK

  5. F2 Options • Abbreviate display – Eliminates all but course name, number, date and enrollment information making the report easier to print in a portrait set up (8.5 x 11 sheet of paper). • Order output by: offers to output the report by begin date, course number, course name, end date, location-date or date-location. • That match custom condition: Example: colocid = 9999 • ***Please note that all options selected must be TRUE for the course to display on the report.

  6. F2 Options Wildcards (a question mark character) may be used in any criteria field as a substitute for multiple characters. Preferences are SAVED .. ( and will remain when you press F2 again)

  7. F2 Output TIP! You may double-click any course code that appears in the list of results to go directly to the course screen. To close the list, press the ESC key

  8. Quick Room Use Report Ctrl +F2 • Access by clicking Ctrl +F2 • Select Report Options • Click OK to view results

  9. Ctrl + F2 Output The report shows the session details for the courses as well as enrollment counts and instructor(s) teaching the course (not shown on this graphic).

  10. Instructor Talent Search – F3 F3 works from the main screen, the faculty screen, or the course instructor screen

Instructor Talent Search – F3 Enter your search criteria and click OK The system will search for instructors who meet your criteria then display a list for you TIP: If you want to view an instructor's record, double-click on the instructor's name in the list to open the Faculty Manager record for the instructor

  12. Viewing Payment HistoryAlt + F9 • Run from the Names screen or the Registration screen • Displays the course, payment dates, pay type, receipt number, and amount paid.   • You will be given the opportunity to print the history when you close the window

Dashboard – F9 The Dashboard gives you a quick look at courses with low enrollment, courses full or nearly full, summary of enrollments and income (for the day, week, quarter, year), and counts of web enrollments. It is divided in to two distinct areas separated by a thick line. Everything above the line shows upcoming course information. Anything below the line refers to historical data: ie: income received, total registrations recorded.

To view courses that are almost full: • Select the Courses within [number] or less of max. • Select the number, i.e. how close to the maximum the courses should be. • Select your date range (the current month is auto-entered for you, but you can change that if desired). • Click the Show button. The courses that meet your criteria will show in the window to the right of the Show button. The first column shows the enrollment percentage of maximum. The second column shows the course code.

  15. The Jerry McGuire – Show me the $$$ • Select the appropriate time period from the For [time period] show me drop down. For example, to see statistics for the past week, select ‘This Week’. • If you want to scope this list, select the appropriate Scoping option. For example, to scope by Department, select ‘Department’ from the ‘Scope by the following’ list then select the specific department from the drop down. • Click the Refresh Display button. • The enrollment count, income and percentage of Canceled Class will be displayed for you.

  16. BTW…. Also show me Web Enrollments • Select the appropriate time period from the For [time period] show me drop down. For example, to see statistics for the past week, select ‘This Week’. • If you want to scope this list, select the appropriate Scoping option. For example, to scope by Department, select ‘Department’ from the ‘Scope by the following’ list then select the specific department from the drop down. • Click the Refresh Display button.

  17. “Special” Action / Shortcut Keys • Alt + 3 = Copies the Name, Address, Day Phone, and Email Address (in block format) from the open Name record.  The block can then be pasted into a document (e.g. letter, mailing label, etc.) • Alt + F1 = Repeats last Course Code entered • Alt + F2 = Repeats last value entered as Query Value • Shift + F2 = Stamps Today's date in a date field • Tab = Move FORWARD through fields on module screens • Shift + Tab = Move BACKWARD through fields on module screens • Alt + Underlined letter = Opens dialog boxes, moves to the referenced field, opens a tab screen

  18. Macro Keys Repetitive information may be stored in macro keys located on the My User Profile on the Edit menu. TIP! Enter the first few digits of frequently accessed course numbers, or a full course number for quick recall on any Find screen. Entering the same range of dates ( ie: for one quarter ) again and again. Enter the dates 0101200803312008 As a long string of numbers 0101200803312008
