  3. Chapter Requirements • FIVE Things due on or before Aug 31st • Chapter Annual Report • List of your 2009 – 2010 Officers and Volunteers • Chapter Financial Report • Chapter Audit Report • Copy of the chapter bylaws Submit to chapterrelations@ncmahq.org

  4. Why do you need to submit your chapter financial and audit reports to NCMA? • Chapters can then be included in the NCMA Group for filing taxes with the IRS • If we don’t receive your reports by 31 Aug, then you are not included and you are ON YOUR OWN to file with the IRS

  5. IF all Five Items are received by Aug 31st • Then the chapter is eligible for consideration for the Walter R. Graalman Award • NO separate submission required for the Graalman award

  6. Chapter Annual Report • NO required format • BUT, limited to 6 pages • SHOULD be structured so that it describes what your chapter accomplished in support of 3 NCMA objectives • Describe what you did this past year • NO additional backup information required • We believe in the Contract Management Code of Ethics

Chapter Rebate Program • Chapter Presidents and Treasurers received a letter regarding the July 2009 BoD decisions on chapter rebates • Chapters submitting all required documentation will be eligible to receive a chapter rebate for PY 08 – 09 • Chapter presidents received a list of chapter members as of June 30, 2009 • Rebates will be capped at $500 • BoD decision to eliminate the retained rebate policy • BoD decision to eliminate future rebate payments

Chapter Grant Program • At July 2009 BoD meeting, the BoD established a chapter grant program • Chapters with a demonstrated need will have to opportunity to apply for funding from NCMA to accomplish initiatives that support the chapter mission • Funds can not be used to routine chapter operations • $20,000 funded for chapter grants for PY 2009 – 2010 • Application sent to chapter presidents and is available on the NCMA Intranet • Due Sept 30, 2009 • Submit to chapterrelations@ncmahq.org

  12. Send in Your Chapter Election Results! • Fifty chapters have already sent in their rosters and have certificates on the way • Roster form is available on the NCMA Intranet in Chapter Management Links and then in Forms • Submit your roster to chapterrelations@ncmahq.org

Annual Performance Evaluation • 2008 -2009 Chapter Leaders received an e mail with a link to the electronic survey in July • This is YOUR feedback to NCMA • How did NCMA do? • Did we meet or exceed your expectations? • If you haven’t replied, it’s not too late • Need the link?   16. Chapter Directories • Quite helpful tool…BUT • The way you distribute can lead to unwanted data mining and annoying junk mail and spam mail for your chapter members • Think about alternate methods to distribute to your chapter members

State Business Filings for Chapters • NCMA Counsel has advised that chapters must be in compliance with state business registration requirements • Specific for each state in order to do business in that state • A part of NCMA National Bylaws • NCMA has not in our long history monitored chapters’ filings, or enforced this bylaw provision. • NCMA BoD believes that failing to comply with state requirements constitutes an unacceptable legal risk that must be remedied promptly. • Current status: 12 states completed, more in work; one actual business license received back from the state (North Dakota!) • NCMA will provide chapters with copies of documentation for your records • Thank YOU volunteers for your time and effort!

  25. Upcoming Awards Walter R. Graalman Award • The Walter R. Graalman Award is a national award to outstanding chapters, with three categories of awards based on chapter size, and is presented by the NCMA president at the Mid Year Leadership Conference. No separate submission is required. Arthur G. Muller Annual Volunteer Award Nominations Due October 30 • This award is intended to recognize NCMA members who have served, without compensation (other than reimbursement for out-of-pocket expenses), the association through their participation, contribution, and leadership in its activities. It is presented by the NCMA president at the Mid Year Leadership Conference. Blanche Witte Memorial Foundation Award Nominations Due November 15 • This award is intended to recognize individual(s) who have made outstanding professional contributions to NCMA or their workplace in the preceding year. It is presented by the NCMA president at World Congress.
