  1. Sabbaticals When? Why? How?

  2. When? • After 6 years of full-time instructional service or its equivalent • Plan ahead, discuss timing and course arrangements with home department

  3. When? • Write proposal 2 summers before planned sabbatical (September 10, 2012 to Dean) • Check basic plan with ORSP early • Have a colleague review • If preliminary review/comment desired, submit to ORSP >3 weeks early (before Aug. 17, earlier is better)

  4. Why? The purpose of the University of Wisconsin System Faculty Sabbatical Program is to enable recipients to be engaged in intensive study while on leave of absence in order to become more effective teachers and scholars and to enhance their services to the University. • Enliven scholarship and teaching • Learn something new • Work with new people, new environment • Get some rest, achieve personal goals • Avoid burn-out

  5. Proposal • Submit via BP Logix • Enter in form: • Title, year vs. semester • Paste and attach short and long abstracts • Attach • Narrative – 10 page limit • Background data • CV – 4 page limit • Letters of endorsement

  6. Process • Comment box • Initial any comments • Fill in names of chair and dean • Send to chair • Chair determines needs for replacement • Dean certifies replacement costs, evaluates proposal • Replacement costs not to review committee

  7. Abstracts • Audience • 3 sentences: Provost, System officials, Regents. Should be formal and sell the project • 300 words: Chairs, deans, reviewers

  8. Narrative • Your audience will mostly NOT be in your discipline – don’t make them cranky! • Topics • Goals (and rationale) • Location • Schedule • Procedures • Benefits • Evaluation

  9. Background Data • Years of service • Leaves of absence • Grants applied for (include any potential outside funding) • Significant contributions to teaching, scholarship • Qualifications for project • Semester or year sabbatical?

  10. CV, Letters of Endorsement • CV • 4 page limit • Tailor to support sabbatical project(s) • Letters of endorsement (chair, colleagues) • Important for setting context • Confirm claims in proposal

  11. Review Process • Screening Committee members read independently and rank proposals • Rankings discussed in review meeting, recommendations made to Provost • Deans and Provost meet to consider Screening Committee’s rankings, chair and dean evaluations, and financial logistics • Provost forwards recommendation to UW-System Administration • Announced December B.O.R. meeting

  12. Screening Committee • Sabbatical Review Committee • Tenured faculty from URCA Council • Chaired by Asst. Vice Chancellor for Research and Sponsored Programs

  13. Screening Criteria • Rate only on merit • Will it afford the applicant significant professional growth/renewal? • Goals clearly stated/hypotheses supported? • Does vita suggest activity is appropriate and possible? Can it be accomplished? • Potential for enhanced professional recognition for applicant and UWEC? • How will accomplishment of goals be assessed? • Does it address any of the Regents’ priorities? • What is major benefit? • Numerical rating tallied, discussed in meeting

  14. Types of Projects • Should include a component of scholarship • Avoid activities that can be perceived as primarily benefitting the department as opposed to the individual faculty member • Regents’ emphases are not the primary criterion, but point them out if they apply

  15. Some Key Rules • A privilege, not a right • Sabbatical salary + grants/awards < salary • Exception: extra cost reimbursement (travel, additional living expenses, etc.) • No paid employment, including Winterim “unless stipulated as condition of leave” • Come back or pay back • Final report

  16. Reporting • Report on sabbatical due within 2 months • March 1 or October 15 • To chair, copied to dean, provost, ORSP • Review goals, describe accomplishments

  17. Semester vs. Year • Year sabbaticals make semester sabbaticals possible (35% salary savings) • Scope of project should match time requested; otherwise length not part of evaluation criteria • Personal advice: do the year if you can • BUT if year is approved, can’t be changed back to a semester

  18. Funding • Extramural grants – consult ORSP early • Internal sources • URCA • Every other year • $3000 travel, services, supplies • $1250 summer stipend • Other options in some circumstances • Small Research Grant (any time) • Workshops and Special Projects Travel (first of month, 6 wks lead time) • Income can’t exceed regular salary
