  2. After the Tests for WKIV Online Testing • Room Supervisor’s Responsibilities: • Verify the following: • Collect scratch paper, formula sheets and calculator for Applied Mathematics Assessment (if applicable), and any other materials • For Extended Time Testing, Test Supervisor and student must sign the WorkKeys Internet Version Report of Accommodated Assessments, located on Page 31: • http://www.act.org/workkeys-private/wkiv/UserGuide.pdf • Fax this form to ACT WorkKeys at (319) 341-2630 • Keep a copy of this form on file with your district/school for one year

Scores and Reports WKIV Online Testing • Scores are available 24 hours after the student finishes testing • Scores can be retrieved by clicking on Reports Portal and the type of report you want (you must have WinZip 7.0 to download reports) • Report descriptions and instructions may be found at: • http://www.act.org/workkeys-private/reference/reports.html • Follow the Paper-and-Pencil scoring instructions for testing students with special accommodations, other than extended time.

  4. Room Supervisor’s Responsibilities Paper-and-Pencil Testing • Room Supervisor’s Responsibilities (also on Page 70-78 in Supervisor’s Manual for Paper-and-Pencil Testing): • Verify the following: • All answer documents, test booklets, scratch paper, formula sheet(s) and calculators (for Applied Mathematics, if applicable), etc. have been collected • All student names are printed and gridded properly with bubbles completely marked. Erase all stray marks • Only Last Nine Digits of Student SSID is used for the ID Number • Test Booklet Number and Form Number • Student Demographic Information is complete • Students have signed the Examinee Agreement on the answer document • All accommodation codes are marked and coded correctly, if applicable (continued)

Forms and ReportsPaper-and-Pencil Testing • All necessary reports have been completed: • WorkKeys Roster (student names and verification) • WorkKeys Test Materials Tracking Log • WorkKeys Seating Diagram • Recorded test time of start, 5 minute warning, and stop times (pages 41, 44, 47 in Supervisor’s Manual) • WorkKeys Irregularity Report • WorkKeys Report of Accommodated Tests (WorkKeys Special Testing Reader’s Agreement and WorkKeys Special Testing Interpreter’s Agreement, if applicable) • Return all materials immediately to Test Supervisor

Packing FormsPaper-and-Pencil Testing • WKEYM Pack / Return Slip • Included when you received the tests • Site Supervisor’s Header • You need one copy for each envelope of completed answer documents • Building Header (not applicable) • Group Header (not applicable) • Scoring and Reporting Order Form (should have been included in your materials from ACT WorkKeys) • FedEx pre-paid labels, along with instructions

Separate Mailings to Return for Paper-and-Pencil Testing • All materials must be returned to ACT immediately after testing • If needed to store materials at any time, securely store all materials, in accordance with ACT guidelines (locked cabinet within a locked room) • The last day for ACT WorkKeys to accept your shipment is April 4th(for KDE funding) • Materials will need to be separated by: • Scorable and Completed Forms (use envelope provided) • Nonscorable Documents and Unused Forms (use box from ACT WorkKeys test materials shipment) • Instructions for separating out materials and mailing is on Pages 70-78 in the Supervisor’s Manual • Each package(s) will be mailed to different addresses, using the FedEx pre-paid labels that came with the shipment of your testing materials from ACT WorkKeys

Separate Mailings to Return for Paper-and-Pencil Testing • Write your school name and test site code on the side of each mailing • Use the FedEx pre-paid billing labels that were sent to your school when your shipment arrived. • ACT WorkKeys will pay for shipping costs and then invoice KDE Central Office. You must use the FedEx pre-paid billing labels.

Scorable and Used Forms to ReturnPaper-and-Pencil Testing • Mailing 1 (Envelope): • Scorable and Used Forms include: • Answer documents to be scored • Completed Site Supervisor’s Header • All used/completed test administration forms • Completed WorkKeys Scoring and Reporting Order Form • All scorable documents and completed forms will be mailed using the FedEx pre-paid labels

Nonscorable Documents and Unused Forms to Return Paper-and-Pencil Testing • Mailing 2 (Boxes): • Nonscorable documents and unused forms include: • Used and unused test booklets • Unused answer documents • Unused test administration forms • ACT WorkKeys Supervisor’s Manual(s) • WKEYM Pack/Return Slip • Miscellaneous items, such as CDs, DVDs, etc. • All nonscorable documents and unused forms will be mailed using the FedEx pre-paid labels

Site Supervisor’s Header – Required for Paper-and-Pencil Testing • Details for completing the Site Supervisor’s Header are on pages 71-72 of the Supervisor’s Manual: • Refer to the WKEYM Pack/Return Slip for needed information (was included in the shipment of test materials) • Complete sections A, B, E, F and G • Clearly write and bubble each section • Sections C, D, H, and I do not apply Supervisor’s Manual PAGE 72

Scorable and Used Forms Packing Shipment Envelope for Paper-and-Pencil Testing If you only tested in one building or want all results to be combined, then: Place the completed Answer Documents in the bottom of the envelope that came with your shipment. Place the Site Supervisor’s Header in next. Place all related forms in the box (Roster, Tracking Log, Irregularity Report, and Seating Diagram, etc.) Finally, put in the Scoring and Reporting Order Form • Make sure your Site ID Number is on the Scoring / Reporting form

Labeling the Envelope (Mailing 1of 2)For Scorable Documents and Used FormsPaper-and-Pencil Testing • Once you have placed the scorable documents, Header, used test administration forms, and order form into the envelope and sealed it: • Label each envelope with your return address and the institution/site code and “ACT WorkKeys Scoring” • The shipping address is on the FedEx pre-paid label

For Paper-and-Pencil Testing – Labeling the Box (Mailing 2 of 2)For Unused and Nonscorable Test Materials • Nonscorable Documents and Unused Forms are to be returned in a separate box • Keep items grouped starting at the bottom of the box: • Unused Test Booklets • Unused Answer Documents • Unused Headers (if applicable) • Applied Mathematics Formula Sheets (if torn from test booklets) • Unused Order Forms • Miscellaneous Unused Forms and Items (such as CDs, DVDs, etc) • ACT WorkKeys Supervisor’s Manual(s) • WKEYM Pack/Return Slip • Label the box as “Nonscorable Test Materials” • Label each box with your return address • The shipping address is on the FedEx pre-paid label The diagram on page 78 of the Supervisor’s Manual shows how to pack nonscorable test materials

  17. Separate Mailings to Return for Paper-and-Pencil Testing • If you are returning more than one box of completed tests, label the boxes 1 of X , 2 of X , etc. • Write your school name and test site code on the side of each mailing • Use the FedEx pre-paid billing labels that were sent to your school when your shipment arrived. • ACT WorkKeys will pay for shipping costs and then invoice KDE Central Office • Your school is not responsible for shipping costs, if you use the FedEx pre-paid billing labels

  18. After Tests Have Been Scored Paper-and-Pencil Testing • The designated school contact person for ACT WorkKeys will receive three emails from ACT WorkKeys stating they have been set up for the WorkKeys Electronic Score Report Retrieval Service. Emails will contain the username, password, and when scores are ready to be accessed. • If you have not received these, please contact either ACT WorkKeys or Angie Fischer (contact information is located on the last slide) • From the time that ACT WorkKeys receives your shipment of answer documents and testing materials, it will take approximately 10 business days to receive test scores. • After email notification from ACT WorkKeys that your test scores are ready to be viewed, you will have 10 business days to access the test scores. • After 10 business days, the test scores will no longer be available for viewing.   19. National Career Readiness Certificate (NCRC) • A student must score a minimum of the score below on all three assessments to earn a National Career Readiness Certificate

After Testing National Career Readiness Certificates • NCRC certificates file will be emailed from KDE (on a secure website) to the designated ACT WorkKeys school contact person • It is the school’s responsibility to review the NCRC certificates and print them for distribution at awards night, graduation, etc. • Recommendations: • Use a quality weight paper for certificates (The state uses Kan’t Kopy Security Paper 65 lb. coverstock – blue) • Print on a quality color printer

  21. Process to Make a Change on a Certificate • If changes need to be made, such as misspelling of student name, a Change Form must be submitted to both email addresses listed below: • ACT WorkKeys, WorkKeysAssist@ACT.org • State NCRC Coordinator, Joe Paul, Joseph.Paul@ky.gov • The Change Form may be found at: http://www.act.org/workkeys-private/pdf/RequestforModification.pdf

  22. Retesting • Decide which students, if any, to retest • The student only needs to retest on the assessment that needs improvement • A student can retest once within a 30-day period • KDE funding is not available for retesting. Your school/district is responsible for costs associated with retesting. Each assessment costs $6.00 • If retesting using WKIV online testing, KDE will send your school an invoice • If retesting using paper-and-pencil testing, you must order retesting materials at: http://education.ky.gov/CTE/Pages/ACT-WorkKeys.aspx • A student may not retest using original test materials. A student must use retesting materials.

  23. Data in TEDS • KDE plans to automatically import ACT WorkKeys results into TEDS later in the school year. • Reminder – the last nine digits of the student SSID must be used • You will be notified when this occurs so that you can go in TEDS to check the data. • If there are problems automatically importing, you will be asked to manually enter ACT WorkKeys results into TEDS.
