  3. 1st training session PRESIDENTRole and Responsibilities

  4. Objectives of the session Provide some suggestions to continue to familiarize with the “task" of President. Remembering: what the roles and responsibilities of a President of a Rotary Club are.

  5. WhatdoesitmeantobeClub President? • Be the leader • Perform this task efficiently and effectively by taking responsibility to ensure correct functioning.

  6. The duties of the President • Implementing and continuallyevaluatingyour club’s goals. • Communicatingimportant information to club members. • Workingwithyour club and districtleaders. • Developing, approving and monitoring the club budget. • Workingwithdistrict leadership toachieve club and districtgoals. • Preparingfor and encouraging parti- cipation in club and districtmeetings. • Using information and resourcesfrom the district and RI Secreteriat • Presiding at allmeetingsof the Club and directing the Club’s Board.

Powers of the Board • The executive power of the board shall pertain to all officers and committees and, for good cause, may declare any office vacant. • The Board's decisions on any aspect of the club is final, however an appeal can be made against decisions. • The board may, unfortunately, also have to take unpleasant decisions. It can, or must, under Article 12 by a vote of at least two thirds of its members, suspend a member - for the period and under the same conditions that the board considers necessary. This in the case that allegations are made of improper behavior or actions likely to harm the interests of the club which, if proven, would constitute just cause for revocation of membership. • The board may, by a vote of at least two thirds of its members, revoke the membership of any member who no longer meets the requirements for membership in the Club, or for other valid reasons.

  17. Secretary’s role • Help the Club to function efficiently. • Effectively manage the information coming from the Club Board, the Committees, the members, the DG, the Governor Assistant, R.I. and the R.F. • Monitor the trends of activities to help identify weaknesses and strengths of the Club, and transmit this information to the responsible officers. • Thoroughly be acquainted with the constitution and bylaws of the Club. • The secretary is an ex officio member of the Administration Committee.

Other responsibilities of the Secretary • Update membership data • Send the monthly attendence report to the Governor. • Send notices about meetings of the Club, Club Board and Committees. • Record and file the minutes of various meetings. • Promptly forward all the documents required by RI. • Manage all Club correspondence • Follow the process of admitting new members. • All other tasks usually associated with his office.

  19. Programs have to offer interesting and appropriate,programmes, previously planned. • Must begin and end on time. • Have an alternative program in case the scheduled event fails. • Pay attention to the calendar of events in District and RI to avoid overlapping. Weekly meetings

  20. Not forget ... It is very important! To talk aboutROTARYin the clubs, sometimes.

  21. What is a Club Assembly? • Meeting of all Members, Officers and Committees Presidents, to discuss the activities of the Club or for the education of members themselves. • We recommend at least 4 meetings a year. • The President Elect announces the first Club Assembly immediately after the District Assembly. • It is often issued in conjunction with the visit of a District Officer. • Encouraging, especially the participation of new club members.

  22. Matters to be discussed in Assembly • Club projects and activities. • Membership growth and preservation. • Participation in the district convention and other district and RI meetings. • Rotary programs. • Other.

  23. An Assembly of fundamental importance The General Meeting of the RC to elect the directors and executives for the following year.It should be held, preferably before31 December each year. The positions have a term of one year, from July 1st to June 30th (Rotarian year). REMEMBER ELECTION CAMPAIGN ARE FORBIDDEN

Focus attention on important Rotarian issues and questions. • Encourage participation in the life of the Club and its organization. • Sustain the work of the Club. • Provide information and updates on Rotary and on International President’s theme. • Pay particular attention to the clubs in trouble. • Give public recognition to the merits acquiredby individual Rotarians or Club. Function of the Governor’s official visit

  25. How to prepare for the Governor visit ? • Announce and promote the event in advance. • If possible, plan visit with an important event in the life of the Club (new admissions, awards, etc..). • Review the plans of the Club and be prepared to discuss with the Governor. • Invite members of the Club Board and the Committees Presidents to briefly present the activities already undertaken and those still to be completed, to the Governor.

  26. How the District can help the Club? • The District advises the Club on the various aspects of the life of the Club, (the evolution of actual operations-related projects, etc.); • The District links together the clubs that have problems or similar projects; • The District is a source of information; • The District offers Rotarians the opportunity to work in District committees; • The District provides detailed information on all Rotary business; • The District coordinates the programs of "OUR" Rotary Foundation.

  27. Who can still be of help to the Club? • All officers of the District and all incumbent or past RI officers are available to provide support to the Clubs, especially: • District Trainer • District Secretary • Governor Assistants • District Committees • Past Governors • Training Leader, Director in charge or former Members of Committees or RI Support Groups • ! Of course, these officers are required to keep themselves updated.

  28. In conclusion Hence,reflect on the importance of the role you are going to play.What will be the real key to your success ?Be an example for your membersBut to succeed in this commitment you have to take a committment with yourself!

  29. In parting with you I wish you every success and much gratification in your role.The office of President is very interesting, rewarding and varied, but as you have seen it is also very challenging and very responsible.

I hope to have been able to give you an idea about the responsibilities that you will carry in the role of Presidents,We also talked about values … those of Rotary … are not different from those of our everyday life. Yours main mission, dear Friends will be to reawaken these values in your club members.
