  1. Going, Going, Gone! Kate Ross Michelle Price St. John Fisher College

  2. Overview • Lavery Library: How we got where we are • Nursing Faculty ripe for new weeding concept • Acquisitions relationship with Better World Books We do something good for literacy, landfills and the Library bottom line!

  3. A New Beginning • New director and 5 new librarians as of 8/06 • Immediate need for serious weeding due to major relocation project • Director set up BWB in January 2007

  4. Previous success • Creating relationships: former librarian worked with Nursing department especially well • Strengthen relationships: existing liaison program injected with new librarians and faculty • Capitalizing on relationships: • Weed & Feed event prior to major project • Moments of serendipitous weeding welcome

  5. Weed & Feed Subject: Invitation to the first Weed & Feed The Library cordially invites the Philosophy, Psychology and Religious Studies Departments to attend the First Annual Weed & FeedWednesday, January 31 or Thursday, February 14 p.m. on Wednesday or 12:30 pm on ThursdayA light buffet will be served  Meet at the front circulation desk and ask for Melissa Jadlos Librarians strive to provide a collection highly relevant to the curricular needs of our students and faculty.  We currently have a renovation project in your area and would like your department to review material for potential withdrawal(in library lingo we call this weeding!).  Please RSVP to Melissa Jadlos (mjadlos@sjfc.edu or x8164) and let us know if you will partake of the repast on which date. We look forward to working with you to enhance our collection.  The deadline for reviewing library materials is Friday, February 2.  Due to circumstances beyond our control, this withdrawal project is on a short time line.  I apologize for the inconvenience.

  6. Deciding to Let Go • Internally • Putting aside emotions • Making it a practice • Environmental concern (disposal, landfills) • Weeding burnout • “What kind of library are we?” • Superior Interlibrary Loan system • Externally • Departmental feelings may differ between humanities and sciences • Political Capital • Making a clear invitation to faculty to participate

  7. Nursing Weeding Project • How to create a permanent weeding schedule that Faculty and Librarians want to stick to? 3 Year Weeding Cycle

  8. Mapping out the collection

  9. Tallying the Scores

  10. Better World Books • 11 million donated books =$4.5 million in funding for literacy and education • Nearly one million books donated to partner programs • Diverted more than 6,000 tons of books from landfills. • Proprietary software continually prices the books according to demand of the market

  11. One man’s trash is another man’s treasure!

  12. Better World Books: the triple bottom line • Social: power to the people • Environmental: love your mother • Economic: true accounting

  13. Lavery’s Environmental Metrics

  14. Ready, Set, Go! • Cross-train outside of department • Suppress bibliographic records or delete item records • Easiest way to deal with project • Extends the timeline • OCLC batch withdraw • Adds a step into the process but worth it • Crucial that workers are attentive to details

  15. Our process Using Millennium to Delete Records and Items Need to know: is this a single item (delete the entire record—bibliographic and item records) or a copy (delete only the item record) 1) To delete a record with just one item: in other words, removing the record for that book/video from the system Search by the item’s barcode Make sure that the bibliographic information (the area in blue at the top of the screen) matches what you have in hand (.bxxxxxx) Click on the Edit icon, top right corner. Double click in the Suppress code box and choose the option “Delete Code d”. Save the record by clicking on the Save icon at the top of the screen. Use black sharpie to place a large X over the spine label; use Withdrawn stamp to stamp book inside cover Place books in appropriate Better World Books box for shipping Notify Kate of need for more boxes, notify Kate when 10 boxes are full Kate will print out UPS labels for BWB shipment and arrange for pick up/shipment Kate will run create lists to generate OCLC # (bibliographic utility #) Kate will batch delete holdings from OCLC for withdrawn titles Kate will batch delete bib and item records from Millennium 2) To delete one item but keep the bibliographic record (if there are other item records): Search by the item’s barcode Make sure that the bibliographic information (the area in blue at the top of the screen) matches what you have in hand (.bxxxxxxx) Click on the Summary tab in the middle of the screen to list all the item records If it isn’t already checked, place a check box next to the item that matches the barcode you have. (.ixxxxxxx) Click the Delete button in the middle of the page. Use black sharpie to place a large X over the spine label; use Withdrawn stamp to stamp book inside cover Place books in appropriate Better World Books box for shipping Please notify Kate Ross when there are no more than 10 boxes ready for shipment. Please notify Kate Ross when there are fewer than 10 BWB boxes. Kate Ross will batch delete records using Millennium periodically. Kate will also update our holdings in OCLC at that time.

  16. Challenges on Our End • Picking the right people • Trusting procedures • Communicate the WHY *and* the HOW • Process • Select-ers and Withdraw-ers • Capturing delete stats with both bib *and* item records • Storage • Waiting processing • Before picked up/shipment • Disseminate information to campus • What do we tell people? • Literacy funding vs. selling withdrawn books

  17. Making this part of our practice • Works best as a batch process, but comes up during the year • Committing to process & committing to each other
