  1. Millennium Training Let’s practice the skills you will be using everyday. Follow along and mirror the skills in your Millennium application shown in this presentation. Let’s Go!

  2. Objectives Using this training module, Educational Technology and Media Center student employees will become more proficient in Millennium circulation software, therefore furthering the Libraries commitment to customer service and accurate recordkeeping. Next page!

  3. Directions Click through the following slides, performing each task on your own computer using Millennium. On some tasks you will use your own account to simulate working with a patron. Materials needed: Your JAC Select 5 books from anywhere in the ETMC 1 FlipCam To exit the presentation at any time, close your internet browser. Next page!

  4. Logging On to Millennium This must be done at the beginning of each day at the ETMC! 1) Double click on the Millennium icon in your applications dock. 2) Login using this generic Username and password. Username: miletmc Password: miletmc Next page!

  5. Logging On 3) Now, enter these generic Initials and Password: Initials: xxx Password: ezw1 4) Select “OK”. Next page!

  6. Lets take a look at the Circulation Desk! This is where you check-out items Check-in items here Search for items on hold here Renew items here Next page!

Checking-Out Introduction • 1) Different types of patrons can check books out for different lengths of time. • Undergrads: 3 weeks • Graduate Students: 5 months • Faculty/Staff: 5 months • Community members: 2 weeks 2) Be sure to desensitize each book on the Thumper. You don’t want the alarm to go off! Don’t worry, Millennium automatically adds due dates to each item! This information is good to know because patrons will ask! Next page!

  8. Let’s Practice Checking-Out Books 1) Grab the 5 books you picked out earlier. Get out your own JAC. 2) Click in the white barcode box and scan your JAC with the card reader. 3) You will see your account information. You will be checking items out and in to yourself today. In this presentation, you will see Frank Nice’s account. Next page!

  9. 4) Scan a book barcode with the barcode scanner. 5) Scan the other books. You will see each book listed in the “Check Out” section. Be sure to double check that each book checked out is on the list. 6) Note the Due Date of the items. Always inform the patron of this date. 7) When you are done checking out items to this patron, click the “Close” button on the top right of the screen. Next page!

  10. Checking-Out Equipment Grab a FlipCam from the cabinet. Scan your JAC with the barcode scanner. Your account will open. Notice that you have 5 items checked out. Scan the FlipCambarcode using the barcode scanner. Next page!

  11. 5) A message will pop-up. Read it and check inside the camera bag for each item. Press “OK”. 6) The FlipCamis now checked out. Notice the 2 day checkout due date. 7) Close your account using the “Close” button on the top right of the window. Next page!

  12. Checking-Out Interlibrary Loan Items. Interlibrary loan books come to the ETMC via the Library delivery service. ILL books are kept on the Hold Shelf until they are picked up by the patron. Do not check the book out in Millennium. Just hand the book to the patron. Next page!

  13. Checking-In Items It’s time to return those materials we checked-out earlier. Let’s learn how to check-in items at the ETMC! Next page!

  14. Checking-In Books Select the “Check-In” menu in Millennium. Put your cursor in the white barcode box. Scan the book barcode. Sensitize the book. Place the book on the appropriate cart for shelving. Close the check-in window using the “Close” button in the top right of the window. Next page!

  15. Checking-In ETMC Equipment • Select the “Check-In” menu in Millennium. • Put your cursor in the white barcode box. • Scan the item barcode. In this example, scan that FlipCam you checked out. • Read the message pop up. • Check inside the bag for each item on the message. • Click “Yes” if all items are present. • Close the check-in window using the “Close” button in the top right of the window. • Put the equipment back on the shelf in the appropriate spot.   16. Checking-In Interlibrary Loan Items Do not check the book in using Millennium. Just place the book in the white delivery bin for pickup. Next page!

  17. Checking-In Review When checking in items, check Millennium after each new item scan. Read any message that pops up, and follow the directions on the message. These are important. Sensitize any book that comes in on the Thumper. This way the alarm will go off if someone steals them from the ETMC. If a patron turned in items late, they will be charged fines. Let’s learn how to pay fines in Millennium. Next page!

  18. Book and Equipment Fines Be sure you tell patrons the due date for each item checked out! If items are not brought back in time, patrons will be charged fines. Book fines are $1 after the first 4 days overdue, and then an additional 25 cents per day is added after that. Equipment Fines are 25 cents per hour, with a maximum of 6 dollars per day. Next page!

  19. Book and Equipment Fines Patron accounts are blocked when they reach $10 in fines. The fines must be paid before they may check out another item. Students and community patrons will have to pay fines. Professors do not have to pay fines, although fines will show up in their account. These should be ignored. Next page!

  20. Paying Fines • Fines accumulate when items are not brought in by the due date. • Fines on items housed in the ETMC must be paid here. • Fines may be paid using: • Cash • A check made out to “JMU” • Fines on items from other JMU Libraries must be paid at the other libraries. Next page!

  21. Paying Fines Select Circulation Desk in the Millennium Menu. Enter the patron name “NICE”. Pick Frank Nice from the list. When paying fines for patrons, there are two ways to open their account. You can swipe their JAC or enter their name like a normal check out in the barcode box. Next page!

  22. 5) Select the “Fines” tab (you will see their total fines amount on this tab). 6) Enter your personal password when prompted after you click on the “Fines” tab. Click “OK”. 7) In the “Fines” tab, select the little box to the left of the item entry. 8) Click the “Collect Money” box. Next page!

  23. Print a receipt. 12) Put cash or check to JMU in the cash register. 9) Enter your Initials and Password again when prompted. 10) Verify the amount being paid today. Next page!

  24. Renewing Checked-Out Items • Sometimes a patron will want to extend their check-out time. • There are 2 ways to renew an item in Millennium. • Patron can bring the item in. • We can renew without the item present, as long as they know the title of the item. • Patrons can renew items themselves by logging into MyLeo on the JMU libraries webpage.   25. Renewing: When the Item is Present Pick one of the books you checked out to yourself earlier. Select the “Renew” button on the Millennium menu. Scan the item barcode. Tell the patron the new due date. Next page!

  26. Renewing: Without the Item Present There are several ways to renew things. It is not necessary to have the item in front of you to renew it. For our first practice, lets pretend you do not have the book in front of you. Go to the Circulation Desk menu. Scan the patron’s JAC or enter their name in the barcode field. Enter your personal Initials and Password. Next page!

  27. 5) Click on the “Checked-Out Items” tab. 6) You will see a list of all items the patron has checked out. 7) Click on the title of the book or books to be renewed. For this practice, just select the first book. 8) Select the “Renew” button. You will see a new due date appear for the item. 9) Close the patron record. Next page!

  28. Creating a New Patron Record Only Jessica and Grad Students have authorization for this function. New records are created for Patrons who are not JMU Students or Faculty/Staff. New records must be created the first time these Community Patrons check out items from the JMU Libraries. Click here if you are an undergraduate! You get to skip to the next skill. Next page!

Creating a New Patron Record 1) Look at the chart on the imac cabinet door for patron types and materials needed to create records. 2) Most new patrons need to bring a Massanutten Regional Library Card and a current ID with their address on it. 3) Ask for a current email address and telephone number. Next page!

  30. 1) Select the Circulation Desk menu. Click on “New”. 2) When prompted, enter your personal Initials and Password. Next page!

  31. 3) Enter an expiration date. This new date should be 5-31 of the following year. Click “Next”. Next page!

  32. 4) P TYPE is Patron Type. Double click on the white box. 5) Select the patron type. Most new accounts are for Community Borrowers. Click 6 and then “OK”. Then click “Next”. Next page!

  33. 6) Enter the Patron’s name, in all CAPS, Last Name (,) First Name. Click “Next”. 7) Enter the address on their ID in all CAPS. Click “Next”. 8) Enter their local telephone number. Do not enter any special characters. Click “Next”. Next page!

  34. 9) You do not need to enter anything in the ADDRESS2 and TELEPHONE2 fields. Click “Next” to advance. 10) P BARCODE: Enter the patron’s new barcode. Check the ical cabinet cheat sheet for specifics. In this example, we are creating a Community Patron. Enter “MRL” followed by the last 6 digits of their Massanutten library card number. Click “Next”. 11) You do not need to enter anything in the UNIV ID field. Click “Next” to advance. Next page!

  35. 12) Enter a generic PIN number. The patron can use this PIN to long onto LEO. Retype the PIN and click “Ok”. This will encrypt the PIN. Click “Next”. 13) Enter their email address. Overdue item emails will be sent to this address. Click “Next”. Next page!

  36. 14) You are done! Your record should look similar to the one shown here. 15) Click the “Cancel” button to discard this fake person. In a real scenario, you would press “Save/Close”. 16) To check items out to this patron, type their name in the Circulation Desk. Next page!

  37. Changing a Due Date Only Grad Assistants and Staff are authorized to change due dates. Occasionally you will need to change a due date when you check-out an item. Typically this will only happen with Faculty equipment check-outs. Always check with a Staff Member and the iCal to make sure the equipment can be checked out longer than 2 days. Undergrads need to know how to do this task, but you will need authorization from a GA or Staff member. Next page!

  38. Changing a Due Date Only Grad Assistants and Staff are authorized to change due dates. Scan the patron’s JAC or enter their name in the Circulation Desk. Scan the item barcode. Select the “Check-Out” tab. Click on the “Change Due Date” button. If you are an undergrad, you will need a Staff Member or GA to use their credentials. Next page!

  39. Select the new due date. For this example, move the due date to be a week later than it was. Click the “OK” button. The new due date is set. Close the patron account. Next page!

  40. Place a Hold on a Book • Holds are a way of “reserving” a book for a patron. • There are 2 reasons to Hold a book: • This is used to reserve a book that is already checked out, like a waiting list. The book will be reserved and sent to the desired pick-up location when it is returned. • The patron wishes to pick the available book up in a different location. The book will be sent to the pick-up location in the next library delivery. • Patrons can place holds on items online using their LEO account. • This exercise will show you how to manually hold a book using Millennium.   41. Place a Hold on a Book 1) Select “Search/Holds” in the Millennium menu. 2) Type an item title in the Search box. 3) Double click the desired title. Next page!

  42. 4) Click on the “Hold Selected Item” button. 5) In the “Search for Patron” box window, Click on the “n NAME” dropdown menu. 6) Pick the “n NAME” option. Next page!

  43. 7) Type your last name (or the patron requesting the hold) in the white box. Click “Search”. 8) Pick “Place Hold”. 9) Select the desired pickup location. Press “OK”. Emahr means ETMC. 10) Close the record. The item will be sent to the pickup location in the next delivery. Next page!

  44. Almost Done! Which Items Do You Have Checked-Out? Select Circulation Desk in the Millennium Menu. Swipe your JAC or enter you name in the barcode box. Click on the “Checked out items” tab. Enter your Initials and Password. Here you will see a list of items you have checked out. Next page!

  45. Last Thing! Check-In Any Items You Still Have Checked- Out Select Check- In on the Millennium Menu. Scan each item using the barcode scanner. Always double check the Checked-In item list to make sure everything scanned properly. This is incredibly important so that no one gets inaccurately fined. Next page!
