  3. This Appendix outlines the requirements for the external files that are used for

  4. the Cougar Mountain Universal Bridge feature. This feature imports

  5. transactions into several of the Cougar Mountain Accounting for Windows

  6. modules: General Ledger, Accounts Receivable, Accounts Payable, Inventory,

  7. Order Entry, Payroll, and Bank Reconciliation.

  12. an External File

  13. Transactions can only be imported into or generated in an empty batch. If you

  14. are in single batch mode, you must post or clear any unposted transactions that

  15. are currently in the batch before you can import.

  16. When you import transactions from an external file using one of the Universal

  17. Bridge options, the information in the file being imported must be in the

  18. correct format to be written to the Cougar Mountain files. For example, fields

  19. must be of the correct lengths and be delimited as expected.

  20. Date Formats

  21. The import will accept the following date formats:

  22. _ YYYYMMDD__ .............If the import is based on column position,

  23. then two spaces will be required on the

  24. end of this format to accept the dates correctly.

  25. Without the two spaces, the record

  26. size will be incorrect.

  27. _ MM/DD/YYYY ..............When using this date format, be sure to use

  28. all 4 digits of the year. If all four digits are

  29. not used, the date may not be imported

  30. correctly.

  31. _Note Certain information will be required at posting, but will not be required at the

  32. time of import. Be sure to print an Edit Report and review it carefully prior to

  33. posting. If errors are detected at posting, an error report will be generated. Use

  34. this to correct your entries.

  38. The external file must be in one of the following file formats: column position

  39. (sometimes referred to as “fixed length”), semicolon delimited, or tab

  40. delimited. The user must indicate which of these formats will be used when

  41. they start the import process.

  42. When information is imported from the external file, it will be imported into

  43. one or two files (see below) in the batch selected by the user. The selected

  44. batch must be empty or an error message will display.

  45. Depending on the module you are using, the following files in the selected

  46. batch are updated, where xxx is your company’s three-character company

  47. code, and aaa represents your batch identity.

  48. _ General Ledger: ..............xxxGDaaa.DBF and xxxGJaaa.DBF

  49. _ Accounts Receivable: ......xxxATaaa.DBF and xxxALaaa.DBF

  50. _ Order Entry: ...................xxxOTaaa.DBF and xxxOLaaa.DBF
