  2. CREATING A DATA BASE For each field name you must select the data type that is best to represent the type of field name given. This is because a food item would only be described using letters, spaces and punctuation. For the task that has been given, you open up the information sheet from the website and this will give you the data that is to be put into each field name. Don’t forget to remove the key because it is not need in this database.

  3. FOOD ITEM The data type is set to text. This is because a food item would only be described using letters, spaces and punctuation. Thefield size is reduced to 100. This is a large enough space for any food item description and will reduce the database’s file size. No duplicates has been selected. This will ensure that no two food items imported or entered into the database are the same.

  4. GROUP The data type is also set to text. This is chosen as the codes used to represent food groups of food items are using only letters. Thevalidation rule limits the data that can be imported or entered to be the specific food codes allocated. Thevalidation text is the information that will appear if the user tries to enter information other than the specific food codes.

  5. CREATING A LOOK UP WIZARD Some of the date entered into field names require a look up wizard so that specific data can be entered into the database. This will allow the user to have a drop down list box to choose one of the specific food group codes from. This is what the completed outcome will look like.

  6. Display control is changed to combo box. This will allow the user to have a drop down list box to choose one of the specific food group codes from. This shows the two rows that will display when selected. These will display the food group code and the food group next to it as a reference for the user. It will only input the code into the database.

  15. CHECKPOINT! I have used the ‘CHECKPOINT’ criteria from the website to make sure that the work I have produced meets all of the requirements. Because I have previously used microsoft access I have had no problems in creating my data base as I knew what need to be done and how.
