  2. How to access and load Event Data This Powerpoint Show provides an introduction and overview of how to record and load “Event Data” to the WGS RM platform. If you are collecting details of consumers and you wish to load these details into your local market database within the RM platform, then this Powerpoint Show will explain how to do this.

  3. The Event Data Template (spreadsheet) can be accessed from the WGS RM Landing Page (www.wgs-portal.databasegroup.co.uk) and a link to the spreadsheet can be found in the Documents section on the right hand side of the Landing Page.

  4. Click on the link called “Event Data Template”

  5. Click on “Open” to see and access the spreadsheet.

  6. Data can be free text, or selected from a “drop down” list of values Fields marked in this colour are strongly recommended to be supplied Type in the details of the consumers, using one row in the spreadsheet for each new consumer. The minimum number of consumers you can supply in this Event Data file is 1, the maximum number is 65,000.

  7. Enter Name details. If you do not know some of the persons details, leave these fields blank.

  8. Either “Date of Birth” OR the “LDA indicator” must be supplied. These fields help to ensure that we only target persons over the Legal Drinking Age for your market. If you do NOT know the persons date of birth but CAN confirm that the person is aged over the Legal Drinking Age for your market, select Y from the drop down list in the LDA Indicator field Enter the persons full Date of Birth in YYYY-MM-DD format if you have this information. If you do not have the full Date of Birth, please leave this field blank and complete the LDA Indicator instead.

  9. Select the Country where this person lives, from the drop down list of Countries. This field MUST be supplied so that we know which market this consumer belongs to.

  10. All records in any one Event File MUST be for the same Brand. Select the WGS Brand from the drop down list.

  11. SOURCE CODE – Must be supplied. Select from the drop down list. EVENT DATE – Must be supplied. Type in the date of the event (YYYYMMDD) which the consumer attended. EVENT CODE – Must be supplied. This is a description of the event at which the consumer supplied their details. You can enter your own event description. This description will appear in GENUS and allows you to select consumers who have attended a specific event for marketing activity.

  12. Opted-in to email – Must be supplied. Select Y or N from the drop down list. Do not leave blank.

  13. These are OPTIONAL fields. If you wish to flag the consumer as VIP (very important person) then select Y from the drop down list. This field CAN be left blank. These are OPTIONAL fields. If the consumer belongs to On of Off Trade, select On or Off from the drop down list. This field CAN be left blank.

  14. These are all OPTIONAL fields. If you know the address or mobile phone number of the consumer, please enter the details in these fields. This fields CAN be left blank.

  15. These are both OPTIONAL fields. If you have entered an address or mobile phone number, then please use these drop down fields to confirm if the customer has opted in to mailing or phone contact communications. These fields CAN be left blank.

  16. Once all of the consumers have been entered onto the spreadsheet – you are now ready to save the file with the correct name and copy the file to the Database Group FTP site where it will be processed into the RM platform. You must ensure that the “tab” in the lower left corner says “Template”. Please do not change this !

  17. Your Event Data file MUST be saved with the correct name and in Excel 97-2003 format so that your data can be processed automatically. The name of your Event Data file MUST be unique and consists of a number of codes (see below). Each part of the file name is separated from the others with an underscore “_”. The name of your Event Data file MUST must always start with WGSX. Then your Agency Code (3 characters). Refer to Database Group if you do not know the correct code for your Agency. Next code is always “EVE”. This means it is an Event Data File Next code is the COUNTRY CODE. 3 character code which represents the country in which the Event was held. Specify as “GLO” if you are unsure, Next code is the 3 character BRAND CODE (example “BLV”, “GFD”, “HEN” etc). Refer to Database Group if you are unsure which Brand Code to use. Next is the Version Number. Usually this will be “V00001” Finally the Date on which the Event File was prepared, in YYYYMMDD format.

The easiest way to place your Event Data File on to the FTP site is as follows : When saving your Event Data File, specify the correct FTP path before the file name (note that each Agency will have its own specific FTP location for data). To specify the FTP path, type ftp://ftp.databasegroup.co.uk/CLT516/followed by the folder for your specific agency, then “To_DBG”, then the name of the Event File itself…see below for an example You will be prompted to enter your FTP login details before you can complete the above “save”. Refer to your notes, or to Database Group, if you do not know your FTP access details.

  19. That is it ! If you have followed these instructions, you will now know how to Access the Event Data Template from the Landing Page Enter Data into the Event Data Template Save the Event Data File with the name Upload the Data File to the correct FTP location. Your data should then be visible in GENUS within approximately 24 hours.
