  2. Online Publication Repositories • Use PUP to upload records from the above sources. Cast your net longer and wider!  • PUP can also be used to process EndNote archives submitted by (e.g. new) authors • EndNote itself permits direct connection to certain repositories of interest • The Monash Library is a good starting place for accessing online repositories

  3. Here is the Monash Library’s Databases and electronic resources page http://www.lib.monash.edu.au/databases For this demonstration, Scopus will be the initial repository of choice. A user would click on “S” below...

  4. Scroll down to locate the links to Scopus…

  5. Click connect…

  6. You are now required to login… jsmith ●●●●●●●

  7. Here is Scopus’ Basic Search Screen. Click on the Advanced Search tab…

  8. Here’s the Advanced Search screen… Build a query here, using the operators, codes and examples shown below…

  9. Here’s one I prepared earlier… ;) A user can type (or paste) it straight in… Now click the Search button ALL AND PUBYEAR IS 2010 AND AFFIL(monash civil) The query will return all publications published in 2010 that have at least one author with an affiliation that includes both the words “monash” and “civil” Replace the word “civil” with a suitable word or phrase from your own school, department or faculty’s name

  10. 38 publication records have been returned Using Refine Results, you may select items to Limit to, or Exclude We need to scroll down to view the returned articles

  11. First you must select the pubs you wish to download (All)… Lets’ download them in a format readable by EndNote:

  12. Then click the Export button…

  13. The Output: Export, Print, Email or Create a Bibliography page loads… Output type: Export is selected by default… leave this… Export format, however, must be selected from the dropdown box…

  14. Choose RIS format

  15. …and then choose “Specify fields to be exported”

  16. Scroll Down to see all fields

  17. Ensure all “Citation information” and “Bibliographical information” fields are selected Keywords may also be selected, but NOT Abstract Abstracts often contain characters (or are of a length) that can cause PUP not to recognise the resulting XML file Now, click the Export button…

  18. Select Save File and then Click OK…

  19. Navigate to where you would like to save the file on your hard drive e.g. My Documents … Change the filename to something more indicative of its contents… And click Save

  20. And here is the saved file in My Documents Now we will look at importing the file into Endnote – and from there, exporting it as XML for upload into PUP

  21. Start EndNote, by double-clicking the icon on your desktop, or do so via the Start button > All Programs > etc. (Version 3 is the version currently offered for download by ITS – careful: it wont do the job) IMPORTANT: OnlyVersion 2’s output will work with PUP…

  22. EndNote often starts up with the last archive you were viewing open. Better to kill it – and open a new, blank one… Click the kill-window button…

  23. Click File > New…

  24. Change the filename to something more indicative of its contents …and Save

  25. And the new (blank) EndNote Library is created… Let’s import the RIS file, extracted earlier from Scopus… Click File > Import…

  26. Select the RIS file to import into EndNote and click Open…

  27. …and for Import Option, select Reference Manager (RIS)

  28. …archive loaded successfully Maximise archive and check a few records for completeness of data

  29. …now double-click a record to check it:

  30. …this amount of information is typical, there is often more, if one scrolls down…

  31. …if we kill this screen, we can get on with the export…

  32. …click on File > Export…

  33. …and set Save as type: to XML, then Save

  34. …and our XML file is saved, now it can be uploaded and processed in PUP!

Summary – so far, we’ve covered: • How to connect to Scopus’ online publications repository, via the Monash library website • How to query Scopus to extract an archive of interest – and download it to our computer • How to use EndNote to import the above archive and then export it in a format readable by PUP (XML)
