  3. Challenges for Email Continuality • 24 Global Exchange servers • Runaway Disk Space • 2 GB limit on individual mailbox size • 100+% annual growth of email stores • Over 2 terabytes of information stores • One message store over 280 GBs • Backup and Restore Management (tapes)

Short Outage Recovery Plan • Message One’s EMS service • Web-based email serviceUsers retain their MoFo email address • Daily sync for contact, distribution lists and calendar data • Email syncs back to MoFo after event • Activate by user, group, server or firm-wide • EMS Activation Status on our Remote Access Portal

  5. Longer Outage Recovery Plan • Activate EMS • Call for Quick Ship Servers from HP to designated MoFo site • Restore from tape

Future Strategy • Phase I – Storage Management • Reduce email stores through archiving - KVS deployment in progress • Reduce server count through consolidation • Email stores on SAN • Phase 2 - Replication • Real time host based tool in place for Document Management System using DoubleTake • Replicate email using SAN based replication tools to backup locations

  7. Archiving • Purchased KVS • Purchased EMC Centera storage appliances • SF and NY locations • Replication between appliances • Currently socializing archiving policies • Archive over 6 months old • Retention of 5 years • Ability to delete from archive • Move email to Filesurf during retention period • Firm deployment in the fall

  8. Server Consolidation • Exchange consolidation is part of a longer term project for overall server consolidation • SAN storage for Exchange stores • Regional data centers • Wait and see if Exchange 2003 & Outlook 2003 (client caching) facilitates consolidation

  9. Email Policy • 2gb limit on Exchange mailbox size. • Items older than 3 months in sent mail folder are moved to deleted mail folder • Purge deleted mail folder after 7 days • Recoverable for up to 14 days • 25mb limit for PDF attachments • 15mb limit for all other attachments
