WHAT TO DO BEFORE GREEN OFFICE WEEKWE GIVE YOU EMAIL TEMPLATES The week before Green Office Week starts, we suggest that you prepare all of your material as follows: • Visit www.greenofficeweek.co.za for a free download of your Green Office Week toolkit and the national daily themes. • See our suggested timelines and suggested email schedule to communicate with your co-workers. • Feel free to use our email templates and save time.

E-MAIL TEMPLATES E-mail Templates • In consideration of your busy schedule, we have provided you with email templates for you to copy and send to your co-workers. • There is a focus area and theme for each GOW day and we provide hints and tips that your business may want to follow – or insert your own tips. • We have marked in green all areas where you insert your own text. • Copy the subject line headings for each daily email which indicates the official national theme for the day.

E-MAIL: We are taking part in Green Office Week 2011 Subject: We are taking part in Green Office Week (GOW) 2011 Dear <Colleague/s> As a business and an office, we will be taking part in Green Office Week 2011 from the 18th to the 21st of April this year. The theme for GOW in 2011 is Care 2B Green. We have committed to get involved in the green office initiative because our planet is our responsibility and we acknowledge that by our actions we can make a difference. Did you know that 70% of office waste is recyclable but only 8% ever makes it to the recycling bin! Join us in spreading the word about eco-friendly behaviours, i.e the R’s: reduce, reuse and recycle. We suggest that you download a free toolkit provided by Green Office Week for easy reference. See http://www.greenofficeweek.ath.cx/assets/SiteEngineManager/toolkit_for_green_office_week.pdf Our objective for today, as per the national GOW themes, is to understand how we can make a difference by focusing on how to save paper- and save trees! Did you know? Waste paper accounts for more than 40% of total waste currently being land filled. Choices you can make for today to save paper: • Print only when necessary. Place all paper waste in a recycling bin and arrange for it to be collected by a recycling company • Save space and paper by filing on your computer/network rather than printing it out (be sure to back up your computer) • Use a bulldog clip to create notebooks from scrap pages • Make use of the flip side of pages when printing internally or change your printer settings to double-sided printing • Always check your print settings prior to printing especially when printing spreadsheets as picking up mistakes will save lots of paper • The official Green Office Week website has tip sheets on various focus areas. Did you know? Green products are generally produced in a way that consumes less natural resources or uses them more sustainably. Did you know? By turning off your light for an hour a day you can save up to 10% on your overall electricity bill.
