  10. GLOBAL GRANT: SCHOLARSHIP • Global Scholar ARIEL STENEK • With the assistance of Rotary, Ariel received her Masters in International Relations in Paris. She is now employed in Honolulu, by a non-profit Indo-Pacific THINK TANK, which has been in business for 44 years and is a research institute on Foreign Policy.

  11. STEWARDSHIP AND QUALIFICATION

  12. STEWARDSHIP Stewardship is the responsible management and oversight of grant funds, which ensures that funds are used properly and benefit the populations in need.

  13. STEWARDSHIP PRACTICES • Supervise projects • Implement projects as approved • Report irregularities • Submit reports • Retain documents

Foundation Grant Financial Requirements • Disbursement Requirements: • Do not disburse funds until your grant application is approved • Maintain separate grant bank accounts • Two (2) signatures required for disbursements. • Invoices and proof of payment required for all disbursements. • Proof of Expenditures: • Promptly deliver receipts for all expenditures to the Club Treasurer. • If there is a difference between the receipt and invoice amounts, prove documentation to the Treasurer • Retain account records in physical form and electronic form for five (5) years from the date of Approval of the Final Report.

Foundation Grant Financial Requirements (cont.) • Monthly Reconciliation: • The District Grant Account and each Global Grant Account will be reconciled on a monthly basis by the Club Treasurer and a report of this shall be made to the Club President and President-elect - Clubs will only be required to maintain a Global Grant Account if they are responsible for management of the funds. This is usually the role of the International partner.

District Audit of Grant Records If your club is selected to be audited, the following documents will be requested for the review by a member of the audit committee: 1.  The grant report showing the revenues and disbursements for the project 2.  Bank statements 3.  Cancelled checks 4.  Bank signature cards 5.  Check registers 6.  Invoices and receipts to support disbursements 7.  Bank reconciliations

  17. District Audit of Grant Records (cont.) If your club is selected to be audited, the following documents will be requested for the review by a member of the audit committee: 8.  List of physical assets acquired for the grant projects, if any 9.  Report to district of misuse of funds, if any  The review is limited only to the transactions regarding the grant, and does not include the other operations and bank accounts of the club.

  18. STEWARDSHIP ACTIVITIES The Foundation manages grant funds through: • Report tracking • Routine monitoring • Investigating allegations • Stewardship seminars • Qualification

  19. DISTRICT QUALIFICATION • Complete the qualification process online annually • Agree to implement the memorandum of understanding (MOU) • Conduct grant management seminars for clubs

  20. CLUB QUALIFICATION • Agree to implement the club memorandum of understanding (MOU) • Attend a grant management seminar • Complete any other district requirements

TAKE ACTION – DISTRICT GRANTS • Complete Club Qualification • Complete Final Reports on current District Grants • Talk with your President Elect and Incoming Board about possible projects – both local and international • Discuss funding required and how to obtain • Be ready to submit District Grant Application July 1 – August 1st. • Ensure two members attend Fall Grant Management Seminar to be ready for next year

TAKE ACTION – GLOBAL GRANTS • Talk with your district Rotary Foundation Grant committee chair or Global Grant chair about a future project. • Work with your district international service committee chair or your district Rotary Foundation committee chair to improve the quality, impact, and sustainability of your global grant projects. • Read the Guide to Global Grants • Review the Community Assessment Tools • Start with the Global Grant Template / Do not submit!
