Maximising Your Investment In FileVision
Shortcut buttons can be added to the RM details tab in FileVision for version 5.5 onwards. These buttons can be things like image, document and eForm shortcuts. Most FileVision functionality can be added as a shortcut.
A shortcut button can be added which allows users to view photos or images. For example this could be a photo of a client or staff member or a logo for a company.
If more than one image is available you can pick from an available list.
If there is only one photo or image saved then the photo will automatically open.
A shortcut button can be added that opens an eForm or multiple eForms.
Select from a list if there is more than one eForm otherwise the eForm will open (in view mode).
It is now possible to search on the information entered on eForms in FileVision for version 5.5 onwards. Any eForm can be searched – contact your Fraame Administrator to set this up.
You can search for information on an eform that has been entered as a “tick box”.
Enter true or false as the search value and start search.
FileVision will return a list of eForms that meet the selected criteria. From there you can view, modify, print, export to excel, change keywords, checkout etc.
You could search for all employee’s expense eForms that have been filled out by month, year, date etc.
Enter search criteria for example all expense eForms filled out in the year 2011. The year will appear as a drop down similar to the eForm.
The search results lists all of the eForms saved that meet this criteria. From there you can view, modify, print, export to excel, change keywords, checkout etc.
Templates allow for customisation and streamlining of address and contact RM data entry. In addition you can make all or a selected number of fields mandatory. E.g. postcode etc. You can also change the order of information – most common at the top.
The RM template can be formatted so that you can enter not only address information but other contact details such as key contacts, emergency contacts, alternative or physical address or partner/spouse information etc.
The information you enter for Human Resources could be quite different to client information.
Using eForms and automation in FileVision to speed up changing RM data and information.
A simple eForm that can be used to record and automatically update multiple RM records for address details . In addition all linked RM records can be updated. This example is ideal for changing clients that have family members as RM entries etc.
A more complex example where RM records across multiple modules can be changed and individual contacts can be picked out. This example is ideal if you capture many different RM details for the same business etc.
Filevision can perform many tasks automatically. These can be scheduled to happen overnight, hourly, two hourly etc and can include any number of FileVsion functions.
Age calculator for clients, staff etc based on their date of birth.
Automatic workflow kick off daily, monthly, yearly etc.
Automatic document and RM data imports and exports.
Birthday and anniversary reminders (via actions) for staff and clients
It is now possible for self administration of passwords in FileVision for version 5.5 onwards.
If users forget their current password they can click on the Forgotten Password button.
A temporary password will be generated and emailed to users (if their email address is entered). Thus saving the need for FileVision Administrators to reset passwords.
