Customizing and creating items • An Item 23 has an amount of $36.30 on the Medicare Schedule. • A practice fee can be set to charge $70 • A discount fee can be set to charge $60 • A pensioner fee can be set to charge $54 • A custom schedule will add a percentage or dollar amount on top of the set schedule fee. • Schedule + $15 = ($36.30 + $15) = $51.30 • Schedule + 50% = ($36.30 x 1.50) = $54.45 • Custom Items are commonly:- • Vaccines provided • Creams and products sold in the practice • Appointment cancellation fees Bp Sunshine Summit 2014

Appointment Book Setup • ‘Setup > Configuration > Appointment Book’ is the first screen to configure. • Options selected in configuration screen reflect how sessions and appointments appear on screen • Layouts are needed to separate users in appointment book or re-organize where users appear • Setup > Sessions contains all working hours for Doctors who have appointments • Practice defaults vs Doctor Sessions • Days away and Extra sessions are essential • Avoid manually marking appointment slots manually available/unavailable Bp Sunshine Summit 2014

Default Billing Configuration • ‘Setup > Configuration > Billing’ is essential to make account creating more efficient • Billing precedence • Doctor Vs Patient • Setting up users for default billing types under Setup > Users • Billing to the practice • Used for products sold by practice Bp Sunshine Summit 2014

Creating appointments • Appointment Lifecycle • Cancelling an appointment displays in a report • Cut + Paste appointments ‘cancels’ • DNA displays in a message window when booking patients • Outstanding accounts • Appointment Types • Other • Internet • Length of Appointments Bp Sunshine Summit 2014

How to use the Waiting Room • Showing all types of appointments means the user only ever needs the waiting room to start consultations. • Billing can be performed directly from the waiting room. • Patients can be added directly to the waiting room – commonly used for ‘Walk-in’ clinics. • Users can preview previous patients visits before beginning the consultation. Creating accounts, made easy • Items are added at the end of finalizing their consultation, including extra notes from the provider. • Items automatically are added to account depending on actions performed in consultation. • Incentive items are added depending on patients demographics. • Referral details are automatically added to accounts which require them. • Changing the service date reverts to previous MBS fees where applicable. • Multiple Procedure items are calculated automatically. • Use previous accounts as a template for special accounts (i.eWorkCover) Bp Sunshine Summit 2014
