  3. Business Letter A letter is a written or printed message addressed to a person or persons, ussualy sent by post or messanger. It is an addressed document of legal, formal or informal kind for various purposes. A business letter is a written communication addressed to a person or organizational, by a person or organization for spesific business purpose. There are many type of business letters, such as Enquiry letter, Order letter, Sales letter, Complain letter, and Aplication letter.

  4. Enquiry Letter An Inquiry Letter is a request for some information that, if given, may prove useful to the writer.Most letters of enquiry are short and simple. As a prospective buyer, the writer of an enquiry states briefly and clearly what he is interested in and this is all the receiver of the letter need to know. A first enquiry-a letter sent to supplier with whom you have not previously done business-should include.

The Rules of Write an Enquiry Letter • Be courteous. • Don’t send an inquiry letter for information you could easily find out • Your letter can be fairly short • Give at least a couple of weeks for the person, company, or organization to respond • If appropriate, you may want to mention that you will keep confidential any information provided. • Make it as easy as possible for the person to respond to your request. • Make sure to include contact information • Send a quick note of thanks expressing your appreciation and telling how the information helped (or can help) you.

Enquiry Letter Tips • Begin your letter by stating who you are and giving your status or position • Clearly state what it is that you are inquiring about and what you would like the recipient of your letter to do. • You might want to briefly explain the purpose of your letter or what you hope to accomplish. • If appropriate, consider mentioning the letter recipient’s qualifications for responding to your inquiry • Include the date by which you need the information, services, etc., that you are requesting, and indicate that you await the reader’s response. • Thank the person for his/her time.

The writer must remember that the reader may chose to give or not give the information especially if the letter is dominating in nature The writer should also inform the reader why such an enquiry is being made. Normally you will be interested in a catalogue, a price, list, discounts, method of payment, delivery times and where appropriate samples.
