Workplace Flexibilities • Efforts have been put in place at other Centers to facilitate work/life balance, potentially reduce costs and improve productivity • No meeting Fridays • “Superflex” • “Flex Fridays” • GRC currently has policies/practices that may be used to achieve work/life balance and productivity improvements • Maxiflex • Telework/Work From Anywhere • Supervisors are authorized and encouraged to use these programs to meet organization and individual needs

Workplace Flexibilities • What efforts are currently being considered? • Cost Savings Achievable? • Study was done to explore cost saving benefits of telework/maxiflex last year • Relooking at study results to determine if any cost savings can be achieved • Should other alternative work schedule options be established? • Consideration of other Center programs • Code C pilot program

Workplace Flexibilities • Code C Pilot • June 17 started 6 month pilot using combination of maxiflex and work from anywhere flexibilities • Encourage employees to create schedule • Accomplish 80 duty hours in bi-weekly pay period while “flexing” every other Friday • Use telework to enable employees to accomplish 80 duty hours if unable to work longer days on site or to support “flexible Friday” • Work within established core hours with 30-minute lunch • Participation is voluntary but to participate must: • Have telework agreement in place • Work with supervisor to request and establish flexible Friday work schedule. • Program will be assessed periodically

Maxiflex • May use Maxiflex as an alternative work schedule by using 80 hour work hour requirement and/or credit hour option to work • 5/4-9 schedule • 4/10 schedule • Flexibilities built into the schedule to allow supervisors to approve deviations to • Core hour requirement • Lunch band • Lunch requirement

Maxiflex • Work Requirement: • 80 hours per pay period • Must be worked between 6 a.m. – 6 p.m. Monday – Friday • Core Hours: • 9:30 a.m. – 2:30 p.m. (minus 11 a.m. – 1 p.m. lunch band) • Credit Hours: • 6 a.m. – 8 p.m. M-F (with prior supervisory notification); • 6 a.m. – 6 p.m. Saturday (with supervisory approval) • May carry over 24 hours between pay periods • Lunch Periods: • Must take a 30 minute lunch if you work 7 hours or more • Lunch period is taken between 11 a.m. – 1 p.m.

Telework/Work From Anywhere • Work From Anywhere program began in April 2012 • Did not change existing telework program • Distributed information on telework and how to manage a teleworking workforce • Provided information and resources via HR Portal • Implemented 1 time training requirement (via SATERN) • Key Benefits • Helps to improve work/life balance • Improves morale • Reduces stress • Retention and attraction of world class workforce • Increases productivity by providing uninterrupted time with fewer distractions • Decreases employee commuting costs

Telework/Work From Anywhere • Things to Remember • All employees are eligible unless: • Position requires direct handling of secure materials • Job requires on-site activities • Employee’s last performance rating is below FS or disciplinary action issued within last year • Not a substitute for dependent care • Must have agreement in place to telework • Work schedule does not change • Duty station does not change unless will not return to official duty station at least 2 times in pay period • Telework is not an entitlement – management may not authorize or terminate if not compatible with mission • Employees may be required to come to work on given day to meet mission needs

Supervisory Authorities • Both • Inform about and/or encourage employees use of existing flexibilities • Discuss work requirements and expectations with employees • Maxiflex • Grant exceptions to the core hour and lunch hour requirements • Approve/disapprove requests to use credit hours and/or to work credit hours on Saturday • Changing tour of duty and/or establish work schedule to meet emergency requirements or operating demands (union agreement requires 2 weeks advance notice, unless emergency situation). • Telework • Determine positions and employees eligibility • Authorize Use and approve schedule • Terminate participation, as necessary
