  4. M2K Printer Basics This Presentations explains how to figure out where a particular function will print and will also show how to change where a particular function prints. There are two important subjects that need to be covered, Form Names and Form Queues. The Form Name is associated with a particular function, and a Form Queue is the name of the printer. SYS.USERS, screen 4, is where to set the Form Name (function) to print to a particular Form Queue (printer). Some functions have a particular form name associated with them. For example, the PO.PRINT function uses the form name “PO”. SO.PRINT uses form name SO; SHIPLISTS.PRINT uses the form name of SHIPLISTS.

  5. M2K Printer Basics continued There are two places to look for printer assignments in SYS.USERS. There is a user called STANDARD that has all the printer assignments set up by default. If PO.PRINT is only being sent to one printer by everyone then change the STANDARD user. If PO.PRINT is being run by multiple users and/or other facilities and PO.PRINT will be sent to different printers according to the login of the user then set up the printers in SYS.USERS by user login. The first check for a printer assignment is to check the SYS.USER record for the user . If it cannot find the printer assignment in the user’s SYS.USER record then it will use the STANDARD user record.

  6. M2K Printer Basics continued • This example shows how to set PO.PRINT to print to a specific printer • Run SYS.USERS and bring up screen 4 (Printer Assignments). Since PO is the form name associated with PO.PRINT, either change the existing PO Form Queue to the new printer or add a new Form Name of PO with the new Form Queue (printer name).

  7. So now when the user runs PO.PRINT it will go to the STANDARD printer. To figure out what the Form Name that is being used by a function, you must edit the function. For this scenario the PO.PRINT function will be used. At TCL type ED PO.PRINT Locate the Form Name by locating SP. (Type L/SP.) M2K Printer Basics continued

  8. The text after the SP. is the FORM NAME associated with this function. In this case the form name is “PO”. Enter ‘Q’ or ‘EX’ to exit the editor and return to the TCL prompt. Some functions do not have printer assignments and therefore will not have SP.<FormName> in the proc. In this case the form name will be STD. The STD Form Name can be changed in SYS.USERS for either the STANDARD user or a particular user depending on your environment. See Handout 1 M2K Printer Basics continued

Dynamic Printers continued • Create a Windows printer • Printer needs to be created on the M2K Server • Printer name must be same as Form Name in DEFINE.PRINTER • Windows printer will never print so any driver and port will due • Unidata needs the printer created in Windows because Unidata validates that the printer exists, if it doesn’t it will cause errors.

  17. Dynamic Printers continued • It is best to set Outlook to use a Mono-spaced font • This just means that all characters are the same size • Then reports will line up: Courier, Consolas, Andale Mono

  18. Dynamic Printers continued • Email report as a PDF • With the M2K Fax module a report can be also be emailed when using the fax option, the report will show up as a PDF • If a fax number is entered the report will fax.

  24. Dynamic Printers continued • User Prompt Stacks can be set on any fields with \PMT • For example if a user always wanted to email the job, the prompts can be set to default the E option and put in the users email address.
