  2. Plan the Project Once you've settled on a project—a process you want to improve—you can outline the goals, identify responsible team members, and create a timeline. You can formalize the creation of the project using a Project Charter. A Project Charter lists the title of the project, its leader, its stakeholders, its team members, as well as its scope and goals. It also serves as a rough timeline of all the major steps in the project.

  3. Making arrangement 1.Open: You may remember we met at the trade fair… You suggested that I contact you to talk about… 2.Suggestion Shall we say 9.30 at your office? Would next Monday suit your? What about 3 o’clock at my office? Could you make it a bit later, say 3.30? 3.Offering Shall I pick you up from the airport ? I ‘ll fax you a map of how to get here.

  4. 4.Changing I’m really sorry but I’m going to have to cancel Something unexpected has cropped up. Could we fix it for next week instead? Is there any chance of having it on? Thursday would suit me better. 5.Confirm I’m just ringing to check our arrangement for next week. Let me just confirm that.. So that’s Thursday the 30th at 2.30, at your office. I look forward to seeing you then.

In this situation, we have five steps to handle it: • thank her for her message • apologize, and explain that you will have to change the arrangement (give a reason) • suggest a new date • apologize again • end the message appropriately
