  1. Despatch of Regd.bag : • After completion of sorting of all regd. Articles to be despatched for any office RSA will checks following: • Whether there is any justification for RB or IB? • If yes, then prepare justified RB/IB By using separate regd.list. • Enter remaining RLs/ILs in another separate Regd.List. • Enter above made RB/IB in this Registered list

  2. Despatch of RLs: • Take out the RB slip impress with name and date. Write the total number of articles inside the bundle on the top of the RB slip with prefix RB. ( e.g., RB-8 if the bundle contains eight articles) • Place R.B.Slip on the top of the bundle and tie it with a thread cross-wise. • Seal the bundle with registration seal.

  3. Preparation of Registered Bundles: • Take action to prepare registered bundle when the number of registered letters including V.P. articles for the same office of destination is three or more. • Prepare separate registered list for each RB closed. Prepare the registered list in duplicate by using double side carbon paper.   • Write the office of destination of RB on the registered list with the letters ‘RB’ prefixing to the name of the office.

  4. Preparation of Registered Bundles: • Enter the details of all registered articles in the RB list. In case of VP articles prefix letters ‘VP’ to the number.

Preparation of insured bundle: • Find out whether more than one insured letters (including insured VP letters) are there for the same post office of delivery. • If more than one insured letters are there for the same office of delivery, prepare an insured bundle. • Enter the articles in the list, as done in the case of preparation of RB. Prefix the letters ‘IB’ to the name of the office of destination. Write the word ‘insured’ before the total number of articles written at the foot of the list. (e.g, Insured three only) 

  6. Preparation of insured bundle: • Impress Name and date stamp in the place provided on the envelope used. Address the bundle to the office of delivery. • Just as in the case of RB write the number of articles with prefix ‘IB’ to the number. • IB-4 - MUMBAI GPO. -------------------- VADODARA H.O-1 Sign after impressing the name and date stamp list prepared.

  7. Preparation of insured bundle: • Note the weight of IB on insured bundle office copy of the registered list the registered abstract

  8. Preparation of insured bundle: • Give all the insured articles with the lists to the HSA/SUP.for check. • HSA/SUP.will check the entries in the lists and sign both copies. • Enclose the articles with acknowledgement and carbon copy of the list in the insured bundle in the presence of the HSA/SUP. Close the bundle yourself with gum and seal with insurance seal in the presence of the HSA/SUP. •  Weigh the IB in the presence of the HSA/SUP.

  9. PREPARATION OF REGISTERED LIST: • Collect all the registered article, VP articles, Insured Envelopes, RBs,IBs, for dispatch and prepare the registered list as follows. • Arrange the articles class-wise, viz., ordinary registered articles including VPs, RBs,Insured Envelopes, and insured Bundles. • Use double side carbon paper for making entries in the list.  • Impress both the copies of the list with name and date stamps.

  10. PREPARATION OF REGISTERED LIST: • Write the name of the office to which the bag is to be addressed. • The class is not required to be written in the case of ordinary registered articles.  • Enter the articles in the list with class VP, RB, INS, IB etc.,  • If the registered article is paid for acknowledgment, write the letters ‘AD’ just below the number written in the list.  • Enter the total in words in the space profided for each type of articles at the foot of the list without corrections. 

  11. PREPARATION OF REGISTERED LIST: • If MO bundles and MO lists are received for dispatch from MO PA, entered them at the foot of the list in space provided.  • Sign at the place provided in the list.  • If any insure article(i.e., IBs and Insured Envelopes) are entered in the list, it should be shown to the HSA/SUP and his signature obtained in the list.

  12. Closing of registered bag : • Take a good canvas bag. • Prepare a label addressed to the office of destination. • Impress the label with date stamp. • Arrange all registered articles and MO and HVMO bundles if any in the order of their entries in the registered list. • Place the carbon copy of the list at the top and tie the bundle with thread.

  13. Closing of registered bag : • If the registered bag contains insured articles, close and seal the bag by using insurance seal in the presence of the HSA/SUP. • If there is no insured article for dispatch, close the bag yourself and seal with registration seal.

  14. Despatch of registered bag : •  Hand over the registered bag to MA/HSA, taking his signature in the “registered abstract” against the respective entries. • If registered packet bag is closed, hand over the bag to MA/HSA, taking acquaintance in the “registered abstract.” • Note: “Registered abstract” is a book showing an account of registered mail
