  1. Ohio Department of Education FY09 Grad Reporting Presented by: David Ehle, EMIS Data/QA Manager Ohio Department of Education, Office of Information Policy & Management September 2009

  2. Graduation reporting period • Overview of new G period • Student Graduation- CORE Summary (GC) Record • CORE requirements (FYI) • Comparison of G vs N/K for • Withdrawal/Diploma • Test Reporting • Course/Credit data • Reports • What if I made a mistake…

  3. G Period Overview • New G period: R&R from March 25 • Drivers for new period: • Grads missed in N but not valid to report in K • Data errors between N/K (grad enrolled) • Need to collect credits for grads, but credit level detail not available for N • Diploma, credit, and limited testing info • Only report students you graduate

  4. Student Graduation- CORE Summary (GC) Record • Collect total grad units for a student • Includes all courses taken in district reporting diploma and all credits transferred in from all sources • How does student meet non-test grad requirements? • Report as specific an area as possible • Electives are treated differently under current and CORE requirements • ELE will only count under current requirements • For CORE, elective units specifically defined as extra credits in specific areas

  5. G vs N/K: Withdrawal/Diploma • School Year graduates are reported as withdrawn in Yearend reporting • Summer graduates are reported as withdrawn in October • All Diploma information is reported in new Graduate period

  6. G vs N/K: Test Reporting • Only N included in accountability • Once N is closed, can report in G • Should only have summer admin and errors from N reported in G • No OGT results reported in K

  7. G vs N/K: Course/Credit Data • No change in when courses are reported • In N, report courses taken in current SY • In K, no courses reported for summer grads • Courses for grads still have credit elements reported in N • Summary GC record (courses in district and elsewhere) reported in G for grads • GC in K only for 9-12 ongoing students

  8. G vs N/K: Reports • STU_GRAD_TEST_REQ • First in N (based on w/d of 99) • In G after N closes (based on reporting diploma) • No longer in K (OGT Data Submission dropped in FY10K) • STU_GRAD_DUP • Only in G: diploma date previously reported for SSID • CSV_2009X_STU_GRAD_WD_MATCH (new report) • Students with 99 w/d in N or K and all students in G • Across districts and across reporting periods • Coordinate reporting to help ensure all data “lines up” • SDC- use to check specific SSIDs included in grad rate

  9. What if I made a mistake… • Report as a grad in G, but not w/d in N or K- will be a grad at ODE • If should have been a w/d, will have to request Missing Student override in K • Report as a grad in G but report as still enrolled in K- will NOT be counted as a grad • Report as a 99 w/d in N or K but not reported as a grad in G- will NOT be counted as a grad
