  17. Note: Remember to keep your email address current so you can receive all email notifications about your candidates. Logging in to Access your Contacts The “Forgot Password” link will reset the password and email a temporary password to the user. The user will be asked to change the password for security reasons. Use this link to bookmark (Save to Favorites) this Web page for future use.

Inviting a candidate to OCASv.2 To invite a new candidate into OCAS click this button, fill out the information on the screen and then click the “Save & Invite” button at the bottom of the screen. This will save the candidate’s record and send an email invitation to the new candidate. Invite Candidate Button

  19. Unlike the previous version of OCAS, candidates will be allowed to access the website well before receiving signatures and paying their candidacy fees. In the OCASv.2 email invitation the candidate will see a link that will take them directly to the password page where they will then choose their own password. In OCASv.2 everyone is responsible for their own email address and password. GBHEM will no longer have access to this information. If a user does not know their password, they can use the “Request Password” on the log-in page. This will be discussed later.

  20. After they create and save their password , the candidate will immediately be asked to complete their personal information profile. This profile collects contact and other pertinent information.

  21. Note: Remember to keep your email address current so you can receive all email notifications about your candidates. The District Superintendent Signature Phase: When the candidate has completed their personal information profile page and has submitted the application, the District Superintendent will receive an auto-generated email notification requesting their signature . . .

  22. Here is a sample email notifying you that a candidate has submitted an application is awaiting your e-signature of approval. Sample email to District Superintendent: 3/1/2010 Dear *******, Your candidate, *******, has successfully completed the online application (Form 101) and is now awaiting your signature. Click the link to go to the Candidacy Online application: https://public.gbhem.org/candidacy/ Thank you. GBHEM Staff.

  23. What if I never receive an email? If you do not receive an email do one of the following: Try to log in. If you are unable, your email information is incorrect. Contact the candidacy office to update it. Check to see if your server/firewall is blocking auto generated emails. If so, add CandidacyCoordinator@gbhem.org to your email contact list. This should allow any future emails to arrive safely in your email inbox. The email is not necessary to sign a candidate’s application. • If you have taken these measures and emails for the next candidate does not get pastyour firewall, then you may want to contact your email provider to find out ways to set up your email filter.

  24. How do I sign my candidate’s application?

  25. Signing a Candidates Application in OCASv.2 There are two ways to sign a candidate’s application. After you have logged in, you will see the candidates that are awaiting your signature. Click on the link in the task column; on the pop-up screen, choose E-sign or Not Approved. To view the Form 101, click the “Form 101” link.

Once the candidate’s task list appears, locate the DS signature link, which is highlighted in yellow on the screen. Click the link to see the pop-up window in the previous slide.   27. How do I Search for a candidate in my district?

  28. Searching for a Candidate in OCASv.2 This is the My Candidates tab. Clicking on this button will allow you to search or view the candidates in your district only . My Candidates Button This is where you would go to locate a candidate to discover where they are in the process or send them an email. This will be discussed later.

  29. Searching for a Candidate in OCASv.2 To find a candidate, go to the Candidates tab as shown. The list will default to Candidates awaiting your signature. However a DS can search for a candidate manually by choosing “Manual Search” from the drop down list. My Candidate Button

  30. How do I change my candidate’s mentor? In the new OCASv.2, a district superintendent can change their candidate’s mentor or add a courtesy mentor to a candidate record which may occur when a candidate is in school in another annual conference.

  31. Changing a candidate’s mentor Changing a candidate’s mentor is as easy as 1, 2, 3!! 1.) Click the ASSIGN MENTOR tab and search for the candidate record that you would like to change. You can search by First or Last Name. Choose a name from the list. Assign Mentor Button

  32. Changing a candidate’s mentor, continued Changing a candidate’s mentor is as easy as 1, 2, 3!! 2.) Choose the name of the new mentor (or courtesy mentor) from the drop down list. If the candidate has both a Home Conference Mentor and a Courtesy Mentor, this is also where you will toggle between who has active rights to the record. Assign Mentor Button

  33. Changing a candidate’s mentor, continued 3.) Click “Submit” at the bottom of the screen. The screen will inform you that your change was successfully made. Assign Mentor Button

  34. Important Changes for Candidates in OCASv.2 The next few slides cover some of the important changes that have been made in the OCASv.2 .

  35. Users control their own password information. All users will be able to change their own password, or click the forgot password link. Passwords will now be encrypted, and GBHEM will no longer be able to recover passwords.

How to get to Candidacy Mentor Handbook • Go to www.gbhem.org • Click on MINISRTY tab on top left • Drop down to Boards of Ordained Ministry on the left • Find Steps Into Ordained Ministry on the right side • Pull slider down until you see STEPS INTO MINISTRY • The Candidacy Mentoring Handbook is at the bottom
