  4. Data Review Calendar Due to Standard Settings and the new accountability system, Data Review details will be forthcoming in the summer.

  5. Accountability Rule – 100 Days

  6. ACT Roster • Part of the Student Data Review and Reporting (SDRR) Application • DAC should print copies of the roster and save electronically once it is final.

  7. SDRR and ACT • Official Student roster (pre-populated from IC) • Document nonparticipation information March 7 – March 30

  8. Nonparticipation • Mark reason in SDRR indicating why student did take the ACT on either state test date (March 6 and March 20) • Choose from nonparticipation categories in SDRR

Pre-populated from Infinite Campus K-PREP Rosters • Verify student enrollment in grades 9-12 • Include all students enrolled as of the first day of the testing window • Mark Alternate Assessment and Foreign Exchange, as necessary • Tickets created for: • Foreign Exchange Students – Nonparticipation for K-PREP and EOC • Exempted Students – Medical or Extraordinary Circumstances • Save an electronic version of all rosters

Exemption Information • Student identifying information • Name • SSID • Grade • Gender • DOB • School Name • Test Type • Exemption Type • Explanation of Medical or Extraordinary issue • Relevant dates Keep paper form on-file in the district. Enter information electronically into SDRR. An Exemption Request is NOT automatically approved.

  12. Exemption Types • Medical Exemption choice requires more detailed information, including Date of Diagnosis and Hospitalization. More detailed descriptions are needed for approval. • Extraordinary Circumstance (Other Exemption) choice has open field to enter information. • For both types of exemptions, see the associated Medical Exemption and Extraordinary Circumstance forms on the KDE web site and in the Forms section of the DAC/BAC.

Medical Exemption Examples • seriously injured in an accident just prior to or during the testing window; • confined to home or hospital with an acute situation, not a long-term home/hospital instruction situation; • unable to interact with people without serious risk of infection or contamination to others; or • pregnant with complications that endanger health of mother or child or has delivered just prior to or during the testing window. Cannot be a handicapping condition

  14. Extraordinary Circumstance Exemption Examples • Student in protective custody • Parental kidnapping • Contact the Division of Support and Research for guidance before completing an Extraordinary Circumstance Exemption.

Suggestions for BACs • Complete paper Medical or Extraordinary Circumstance form in a timely manner • Once paper form is complete, log into SDRR and add the student exemption request • Do not forget to mark the exemption request in SDRR • Keep paper form on-file in district • Check daily for approvals, denials or requests for additional information

Suggestions for DACs • Check exemption requests in SDRR frequently • Make certain schools using SDRR are adding exemptions and updating exemptions • Make certain SDRR has been updated to reflect exemptions • Check paper requests from school with exemption list in SDRR • Make certain that paper Medical and Extraordinary Circumstance exemption forms are completed properly and kept on-file

Medical Emergency Examples • Student broke his/her writing arm • Scribe • Student broke his/her eyeglasses • Scribe & Reader (READING, Mathematics, Science, Social Studies, or On-demand Writing) • Scribe & Large Print or Projector (Reading) • Student with leg in traction • Different setting or schedule if not heavily medicated

  23. Destroy Materials NOTHING SHIPS BACK FROM DISTRICT After all tasks are administered, materials should be provided back to the DAC. DAC should (or may assign someone) shred all Attainment Tasks that have been administered. This process should occur at the conclusion of Test Windows 1 and 2. KEEP BINDERS (DACS SHOULD KEEP THEIR COMPLETE DAC BINDER UNTIL END OF SCHOOL YEAR)

AAAF Requirements • Requirements for the Alternate Assessment and Accountability Folder (AAAF) have been revised this year. • Teachers were provided a training on November 9 that explained the requirements of the AAAF. • District Administrators should review the contents of the AAAF as part of the monitoring process. • http://www.education.ky.gov/KDE/Administrative+Resources/Testing+and+Reporting+/District+Support/Kentucky+Alternate+Assessment+Program/AAAF.htm

AAAF Requirements • The AAAF will contain the following information: • Student Information • Teacher Code of Ethics • Teacher Certificates • Instructional Materials and Work Samples • Attainment Task Scores and Additional Supports (if needed) • Transition Attainment Record (TAR) Information (Applies only to grades 8, 10 and 11). • The AAAF will also serve all monitoring purposes at both the district and state level.

District Monitoring Process • Verify the following: • Administration Code and Inclusion of Special Populations Training has occurred. • Training completed for Attainment Tasks. • A signed Code of Ethics. • Student assessment occurred one to one. • Appropriate accommodations were provided. • Instructional materials were provided (work samples for each standard).

  28. State Monitoring Process Random selections made by the Office of Assessment and Accountability. May ask to view a select number or all of the AAAF folders from the school or district. Revision of the AAAF Components will verify the materials that must be included. Insufficient evidence could result in the lowering of school/district scores.

  34. All test administrators must receive training on the Administration Code for Kentucky’s Educational Assessment Programs. Those assisting with accommodations must receive training on the Inclusion of Special Populations in the state-required assessment and accountability programs. Before Testing

  35. Receiving Materials • Test materials and print accommodated test materials will arrive by: April 2,16 and 30. • Test materials arrive in the district packaged by school. The pre-gridded student response booklets will be sorted by grade in ascending alphabetical order. • Inventory materials and keep original boxes. • Test materials will include overage: • School will receive 5% • District will receive 3%

DAC Distribution • Distributing materials should be planned to allow BACs to inventory materials, and prepare for teacher distribution. • Remind BACs test booklets should not be distributed to proctors until the first day of testing. • Test booklets housed in BAC area/classrooms must be behind a double lock. • Seating charts are required for both individual and group testing. Room location must be recorded on the SRB. • Exemptions and rosters for K-PREP will be done through SDRR.

Requesting Additional Materials • Order online prior to 1:30 p.m. ET to be included in the day’s shipment. • Request additional test materials through June 5. • Only one order per school, per grade can be processed in a single day. • Do not exchange test materials from school to school (even if the schools are within the same district). • Request additional return shipment materials for a school (boxes, red and/or blue return labels or UPS return shipping labels) through June 11.

PearsonAccess PearsonAccess will be used to: • View student enrollment counts for K-PREP ordering • Order accommodated testing materials (Braille, Large-Print and Audio) • Order additional materials if the district has a shortage • Update district and school profiles (shipping addresses, etc.) • NOTE: Districts will be able to view the participation counts for testing materials at each school by grade, but will NOT be able to edit these counts. If a discrepancy of 5% or more or missing schools/grades is found, contact KDE to correct. Use e-mail address kdeassessment@education.ky.gov.

Materials Distribution • There will be no labels but pre-printed student response booklets (SRB). • Ensure each teacher receives the appropriate booklets the SRBs are arranged in alphabetical order by students last name, by grade for each school. • Shrink wrapped materials may be split between classrooms – DO NOT rearrange booklet order. • The student response booklets will be separate from test booklets. • Distribute secure test materials to teachers on the first day of testing.

Location Code It will be bubbled on the SRB indicating the room where each student takes the test. • Zeros will need to be entered for any blank space for a room number. • If the room number is 9, the student will enter 0009. • If a classroom does not have a number assigned the school will need to assign one. • Letters can not be entered for a room number. 9= 0009 19= 0019 190= 0190
