  1. ALTERNATE ASSESSMENT JANUARY TRAINING 2009 Data Input Step-by-Steps

  2. Logging On to the AIMS A Open the internet browser, go to http://www.ade.az.gov and click on Common Logon (look to the top right of the screen for this link).

  3. Type in username and password. Click the Continue button. Note: There are five chances to input the username and password before deactivation. If deactivated, call the ADE Support Center at 602-542-7378 or 866-577-9636.

  4. The first time the ADE Common Logon system is accessed using assigned login and password, read the Acceptable Use Policy. Click I agree (if I do not agree is clicked, access to the application will be denied).

  5. Read directions on the screen and enter new password twice Set Roger If this is the first time in the application:

  6. Once login has been completed, the following screen will appear: • Click • The assigned Username and Password is linked to either the administrator or teacher level of access. A teacher will automatically be linked to the assigned school.

  7. The 1st Time • The first time you log in, you will need to • read the AIMS-A Test Security Agreement 2009 (see next slide) • Check the box at the bottom of the page

  8. The 1st Time If you have not already done so, you must also sign the hard copy AIMS-A Security Agreement for yourself, anyone you supervise, or anyone who will assist you in administering the AIMS-A. Send it to: Cathy Taylor EdAnnex/Accountability & Research

  9. The school is listed on the top right corner of the screen. If there is an error, contact Cathy Taylor and Lindy Jones immediately.

  12. Student Demographic Information Gather the following information before you begin:Use TIENet Demographic Profile • SAIS ID • Date of Birth • Gender • Disability Category • Use TUSDStats • Enrollment History – use • ELL ?s – use step-by-step handout

  13. On the left there will be a menu bar - click Student Data

  14. If this is the first time using the application this year, No Records Found will appear. Click Add Student and enter required information then click Retrieve. Add Student

  15. Check the student information carefully. • If the information is correct, click YES. • If ADE did not retrieve the correct student, click NO. • Verify SAIS ID, DOB and/or gender and re-enter data.

  16. Incorrect data generates a Data Retrieval Error: IMPORTANT If the above error persists, contact Cathy Taylor and/or Lindy Jones immediately to verify that the SAIS number, DOB, and gender entered matches the data submitted by the TUSD SAIS administrator to ADE. If the data submitted through SAIS is incorrect, a SAIS upload to ADE will need to occur before data entry can continue for this student. This could take awhile to resolve, so don’t delay in notifying us!

  17. MIMR-Mild Mentally Retarded If a student was successfully retrieved, the next window will need more information from the Demographic Information Form. Some information is populated with data submitted by the PEA Be sure to complete entire form.

  18. Click to complete the boxes or drop down menus. Indicate the number of consecutive years that a student has been attending this school, counting the current school year. Indicate the number of consecutive years that a student has been attending this school district, counting the current school year. Indicate whether the student began the school year (or within the first 10 school days) at their current school.

  19. Complete the following areas. If ELL is selected, then answer the following questions.

  20. New this year • Indicate any daily instructional adaptation or instructional strategy also used during testing. • You will most likely need to update this when testing is completed.

After the information is completed, scroll to the bottom of the page and click on one of these buttons - will save the information entered and return to the Student List page. will save the information entered and stay on the same page. will delete the information entered and return to the Student List page.

  22. MIMR-Mild Mentally Retarded After submitting the Demographic Information Form, you will be taken to the Student List page. Next you will set Test Eligibility.

  23. Set Test Eligibility • AIMS-A will be checked for you. • Click Back.

  24. Enter all eligible students by January 31 on the Student List page

  25. Click Forms (located above the SAIS ID number) to begin the assessment. MIMR-Mild Mentally Retarded This option will not be available until 2/15/09.

  26. Be Aware! • Even though it says 05/06/09, the testing window and teacher input closes 3/31/09. • April is the time for Cathy to validate everything and do the “Final Submit” to ADE.

  27. Be Aware! • The testing window is 2/15/09 through 3/31/09. • Any tests not complete by 3/31/09 will be invalidated and will not count!

  28. Anytime you return to input data, click the SAIS ID for the student on the Student List page to view student data.
