  1. REGISTERING FOR VOTING AT CONVENTION 2015

  2. In the past IIW issued a series of 3 part forms to • Clubs • Districts • National Governing Bodies • National Representatives • National Presidents • IIW Past Presidents.

  3. These were considered difficult to understand Therefore a new system will be tried for the Convention 2015

  4. Districts have been sent a list of all the Clubs in the District.  • They will be asked to check with the Clubs who will be acting as their Club Voting Delegate and fill in the name and deputy for that Club on one single form. Trinity After Dark Rockhampton Boonah Adelaide Hills

If the Club is not sending a voting delegate they will be asked to nominate another qualified individual • District Proxy Vote Holder • National Representative • International Inner Wheel Proxy Vote Holder • a Past National Representative • a Past Board Member • a Past Board Director • if that person is already attending as a Club Voting delegate.

  6. The completed list must be returned by the District to IIW by 15 December 2014 by post or e-mail attachment.

  7. The National Representative will be asked to compile a similar list for: • the National Governing Body • the National Representative • the National President • any IIW Past Presidents from her country. • The Board Directors will help the Non Districted Clubs.

  8. All the incoming information will be checked by IIW and any queries regarding qualifications etc will be followed up with the National Representatives.

  9. From the finalised figures the voting booklets will be prepared.  No changes to the number of votes allocated will be made after this time.

  10. AT THE CONVENTION

To reduce the lengthy queues and waiting at the Voting Registration desk, A nominated individual from the District (preferably the District Committee Voting Delegate) will be responsible for collecting all the voting booklets and distributing them to the correctly registered named individuals within her District

  12. Any delegate coming to a Business Session holding a booklet not in their name will be disqualified from voting The District will be called upon to explain to the Constitution Chairman why the booklet was with the wrong individual.

  13. The National Representative (or other NGB nominated individual) will be responsible for collecting the items for • the National Governing Body • the National Representative • the National President • any IIW Past Presidents from her country.

  14. Please be ready to provide the name of your Voting Delegate to the District before 15 December 2014 so your Club has a voice and a vote at the Convention in Denmark.

  15. CHECKLIST FOR YOU

  16. Tell District who is voting for your Club (and the name of a deputy if possible,) well before the deadline. • Make sure this person has registered and is going to Convention. • Go through the Proposals and Amendments (when they have been circulated) before the Convention in May 2015 • Tell your voting delegate how you want her to vote on them, or whether you are letting her use her discretion.  • Write down your instructions for her if necessary, so she can refer to these when she is in Copenhagen.  There is no special form for this.  • If you decide to use the official IIW Proxy Vote holder IIW will ask for your voting instructions in advance of the Convention.
