  3. Getting Started SalesBase is very user-friendly, with that familiar Windows based feel All SalesBase features and functions are accessible from the Toolbar and Menu SalesBase has separate tabs for various functions Navigate between Companies

  4. Moving Between Records Finding a Company couldn’t be easier Simply type in the first couple of letters and press ENTER A drop down list of Companies matching the typed criteria will be displayed Select the Company and the Company details are displayed

  5. Maintaining Records When adding a New Company or Contact, SalesBase can use Quick Address to help maintain the correct postal address Alternatively, records can be manually key-entered Each Company can have multiple addresses with no upper limit

  6. Maintaining Records Companies in SalesBase can be associated together – this allows you to move quickly to parent – subsidiary companies showing the relationships between them In SalesBase using this feature you can build a useful marketing roadmap of an organisation

  7. Finding Records SalesBase contains a full search facility that enables you to search for a company or contact without having to search through the each individual record Comprehensive lists of criteria enable searching to be performed by various means, including part-work or number searches After using Find and obtaining a list of records, SalesBase will ask you if you want to Save the Search. Double clicking on the saved search at the bottom, allows you to rerun searches quickly

Filtering Records by Custom Views If your database contains hundreds or thousands of records, SalesBase enables you to filter the records using Custom Views to reduce the number that you work with This feature enables you to build a Custom View using any of the data fields within SalesBase Custom Views can stored and retrieved. They can used for mail-merging and also a global note or activity can be published across all records within a Custom View

Historical Information Each time you talk to your customer or perform an activity for them you can enter a history note onto SalesBase SalesBase allows you to define standard responses for History Items thus enabling fast entry of repeat phrases without continually key-entering them You can associate a document, folder or any Windows compliant file to a Company or Contact. All inbound and outbound email can be recorded, along with attachments in SalesBase After any history note is added to SalesBase you are prompted to schedule a follow up Activity

Activities Activities can be created independently or as a follow up item to a history item Activities can be assigned to other users or multiple activitiescan be created SalesBase also allow you to create recurring activities for those regular customer or prospect calls or meetings For meetings you can invite other SalesBase users to attend, these appointments are also scheduled into Outlook Full activity reports can be viewed or printed to order on both to do and completed activities

  11. Working with Activities Activities can be viewed in a list. Overdue Activities are immediately obvious as they are listed in red. The list shows the type of activity. The activities list enables you to filter activity types, date or user From the activities list you can quickly complete activities by right mouse clicking on the required activity When any activity is completed the information is transferred to the contact or company history and a new activity is prompted for

Sales Opportunities and Reports SalesBase allows you to record your sales opportunities and develop quotations Quotations can be verbal or written using Word templates Written quotations produce a quotation document that can be revised and gives a full audit trail of any revisions enabling roll-back at any stage SalesBase allows you to filter the quotations list by Active, Completed and by User Full reporting enables you to gain an accurate picture of success or failure rates and the reasons why, to help you produce sales forecasts

Creating Letters though SalesBase SalesBase uses Microsoft Word to produce Letters Unlimited Letter Templates can be created for use by SalesBase Users SalesBase automatically opens Microsoft Word, creates a new document based on the template selected and copies the contact details into the new letter SalesBase automatically saves the new letter into the default letter directory and assigns a unique number The letter is saved against the contact and a follow up activity is prompted

Linking to Accounts from SalesBase The Accounts tab in SalesBase links to your accounting package to provide you with current information about your customers and suppliers payment and order status You can also see information from the Sales Ledger and the Purchase Ledger, view live orders and order history The Ledger transactions can but filtered to show All, Open or Closed transactions Stock drill down capabilities enable viewing of Stock Full user security at all levels

Producing Reports from SalesBase SalesBase provides a comprehensive range reports, which offer specific or grouped information from different areas of the system SalesBase also allows you to create your own reports via the custom reports feature and add them to the reports menu In addition due to the open database structure of SalesBase you can also use Excel and other tools for extracting data and reporting
