  2. Relocation and Equipment Modification Services This presentation provides an overview of the Relocation and Equipment Modification Services that are available in S2. It’s intended for Business Partners (BPs) who configure Remarketed ITS fixed price/fixed scope project-based services. The following areas are covered: • Accessing Relocation Services and Equipment Modification Services in S2 • Defining initial site • Basic site information (name, address, etc.) • Machine and service information (machine type, model, feature codes, requested services) • Moving detail (movers yes or no, quote, replacement coverage, site survey) • Creating additional site(s) • Copy existing site • Create new site • IBM Assistance • Checkout • Attachments • New proposal versionNote: There is other S2 education available. More information and links are provided at the end of this presentation.

  3. Accessing Relocation and Equipment Modification Services in S2 • To access the Relocation and Equipment Modification Services in S2 you put your Country, Product Selection, Contract Type and Customer Number information as you do for other offerings.Note: Access to this function is available only when you select Manual from S2 list boxes option. • Next select the Brand/SPL and Offering name. You will need to select SPL 07 – Site and Facilities then select the Relocation Services …. choice(s)or SPL 08 – Servers and the Equipment Modification Services … offering choice(s). • Then select Begin site configuration. Note: S2 currently uses pop-up windows for some purposes during Relocation and Equipment Modification site configuration processing. You must enable pop-up windows in your browser.

  4. Site List The Site List page opens. Note: The Proposal reference allows you to input your own identifier for the proposal. Your identifier will be displayed in S2 views that show previewed and finalized contracts To create an initial (first) site or edit an existing site, select the checkbox on the first line. Then click Edit selected site.

  5. Define site The Site details page opens. • Enter Site Name. • Select Site Address. Note: The “Install at” address of record for the Business Partner’s end customer is displayed as the default. The address can be edited, as needed and should represent where the work is being performed. In the case of a Relocation the Origin address will be from where the equipment will be moved from if using mover • The Comments field is optional. These comments will show up on the end customer’s schedule.

Selecting service(s) Select one, or both, of two basic services types: • Relocations are for multi services under this one offering: De-installs, Installs, Re-arrangements, Relocations with and without movers, and Cabling. • Equipment Modification Services are for adding or removing features from IBM manufactured IT equipment. • You have the option here to select one service or both at one time to get the equipment modification and relocation machine detail configurations.Click Create list of machines for selected services.Note: Depending on your browser, the screen may darken when you click Create list of machines for selected services. This is a normal condition.

  7. Relocation Configuration and Equipment Modification Configuration tables • A table is added for each type of service (Relocation and Equipment Modification). Once you have those tables, you need to add the appropriate information. • The headings for each column are displayed. • Starting with Relocation Configuration table, you click in the area in which you want to add information.Notes: Double clicking on a row always allows input of data or selection from a drop down. Other options for input or selection are browser dependent. Also, the data that you input is stored only in your browser until you click one of the save actions at the bottom of the screen. If you have to input many rows of data, click Save site after every few rows to save your data on the server.

  8. Relocation Configuration • You can proceed to fill in each row, left to right (Machine Type, Model, Warranty and MSQ, etc.) by double clicking each individual column in the row and typing or selecting data.

  9. Filling in Relocation Configuration table • S2 highlights the row you are working on in a light green color. S2 highlights a row in turquoise if IBM assistance is required. We will discuss IBM Assistance a little later in this presentation. • You can add or delete rows, as needed, by selecting the link under the Relocation Configuration table. You can also select multiple rows to delete. • If the OEM choice is selected or you picked a model that S2 does not recognize, you must double click the Description column to input a full description of the machine. Otherwise, the Description field is supplied by S2 and is not an editable field.Notes:(a) Correct Information must be gathered ahead of time for Column on Warranty/ Maintenance. (b) Cables represents anything other than the actual power source cord; ie: (escon, fiber, buss/tag)

Filling in Relocation Configuration table (cont’d.) • The Leave inRack column indicates whether machine will be left in the rack or be removed, when the equipment is moved.This is the last item the user will need to interact with on a row. Note:Leave in Rack option is for relocations with movers , same site Re-arrangements, and Relocations without movers. • S2 will display popup messages for some machine types and models that you input. Some examples are shown to the right.

  11. Equipment Modification Configuration table • The Equipment Modification Configuration table has the same basic interaction as the Relocation Configuration table. • Some of the fields are different including: • Feature: What feature is added; indicates what is being added or removed. • Services: Only two options are available. • Serial Numbers: Serial number of the equipment being modified.Note: Valid serial numbers are mandatory for equipment modifications. Updates to warranty and maintenance agreement records are dependent on the right serial numbers being imputed)

Define Moving from site • If you define a discontinue of a machine in the Relocation Configuration table, the Moving from site screen is displayed. • Select Yes or No for the Include Movers for Site. Ifyou select Yes, it indicates the selected user intends to hire IBM to provide mover services, and you need to make the other selections: • The amount for the Movers Charges field comes from a mover’s estimate. • Select site survey, which is a billable option. Follow the current process for requesting a Mover’s quote from IBM. • Select Yes or No for the Include Replacement Value Coverage. If you select Yes, IBM provides Replacement Value Coverage (RVC). Note: You can only select RVC if you have previously selected Yes for Include Movers for Sale. RVC is not allowed if the customer uses their own mover. • The Statement of Work (SOW) documents what Replacement Value Coverage is. • Finally, click one of the three links located on the bottom of the screen. • Return to proposal – Brings you back to the Proposal details page where you can create a new version of the proposal. • Save & return to site – Brings you back to the individual site page where you can do further updates to site data, such as the Relocation Services configuration table or Equipment Modification Services table. • Save & return to site list - Brings you back to the Site list page where you can copy and delete sites or generate a contract.

  13. Return to site list to create a another site • There are two options to create another site. • Add site • Copy site • In this presentation you will see how tocopy a site. • Select site to copy and click Copy selected site(s).Note: You can also create a new site. You would select Add site and then follow the steps of creating a site, as noted earlier. • Then click the checkbox next to Not defined. Then select Edit selected site.

Copy another site • The Site details page opens with data prepopulated from the previous site. • You must supply a new Site Name. • You will modify information such as Site Address, Service Type, and other data in the Relocation Configuration or Equipment Modification Configuration tables. In this example the Equipment Modification Configuration table was deleted. Note: You can delete a table - either the Relocation Configuration or Equipment Modification Configuration - by unchecking the applicable service type. • Select Save site or Save and return to site list.

  15. IBM Assistance • As mentioned earlier in this presentation S2 will warn you that IBM assistance will be required when IBM has to: • Supply data for a machine that is not recognized by the system or is OEM (relocation only). Note: All OEM equipment that is not under any warranty or maintenance needs to be verified with the delivery team that IBM will participate in handling in any way. • Verify that the desired EMOD feature can be installed in the customer-specific configuration for certain machines. Note: For storage products must supply a configuration and valid serial number for review by the services planning rep. • Look up specific packaging required for certain machines that are under warranty or MSQ. • Adjust the scope or cost for a large number of features applied to a single machine.

  16. IBM Assistance • If IBM assistance is required S2 will notify the BP user.Note: The BP user can fill out all the info in S2 before this stage/step. • The BP has to agree to this (IBM assistance). If the BP agrees to this then the proposal is marked as pending IBM assistance and the BP user can no longer edit the proposal until IBM has provided its assistance and returned the proposal to the BP user. • The BP user will be notified via e-mail when IBM has returned the proposal. • The BP can click the link in the e-mail to return to S2 to review the proposal, returning to the Site list, and then proceed to Checkout. Note: You can also do this by accessing S2 and clicking Proposal versions from the left navigation bar.

  17. Checkout screen • In Checkout the summary shows the Offering Name and Site Name information. • The checkout page will reflect the services that were configured. • The data you input on the Checkout page for Relocation Services and Equipment Modification Services is similar to other offerings in S2. • You must supply the Customer contact nameand the Customer contact phone. Other fields are optional.Note: The contact name and phone contact needs to be for the customer install address and not any other customer location. • From here you proceed in S2 to preview or finalize your contract. Once Finalize contract is selected there is no option to edit. Special relocation and equipment modification schedule content: Attachments • The SOW and schedules for Relocation Services and Equipment Modification Services are much like those of other IBM services. • Equipment Modification/Relocation site detail and configurations will be provided as Attachments to the Schedule. The top example shown here is a representative attachment for relocation services. The bottom example shows a similar table with the extra data for Equipment Modification Services. Note: Please ensure the company name is listed with customer install address within Relocation Site Address fields.

New Proposal Version(s) • You can create a new proposal version. • First, select Proposal versions on the left navigation area • The Proposal versions window is displayed. • Click the customer number for the proposal you want create. • The Proposal Details window is displayed. Now click Create new version.

New Proposal Version(s) - continued • Next you enter the new version number in the field (in this example, it is 1.1) and then click OK. • Once you click on OK, S2 will redisplay the page with your new version number. To edit the new version you can click either Save & goto sitelist or Back to site(s). • The Proposal versions window is displayed with the original proposal and the new proposal version is displayed. You can click the customer number in the new proposal to open it and make your configuration changes.
