  2. “Date Range” Gadgets Allows you to choose a specific date, before or after a date or a range of dates using the Workflows calendar gadget. “Date Depends on the Report Run Date” Allows you to choose the dates based upon when the report runs selecting a number of days before or after. This would be useful for scheduled reports.

  3. “Amount Range” Enter a dollar amount equal to, less than, greater than, not equal or between. “Payment Type” Some gadgets allow you to choose from a list. Click as many selections as needed in the list to choose from and they will appear in the List Selected column. Notice the 2 choices: Includes -------------- Excludes

  4. Sometimes a specific field calls for a String entry, such as Homeroom. Enter the exact name or word you are searching for and click Add. Click Save when you have finished entering your selections.

  5. Missing page VED List Several gadgets open a Ved List window. This will perform a text string search in a specific field such as Extended Information in the Item or Student Record. Choose a Selection from the Entry ID dropdown – for Extended Information we could choose a CircNote. Occurrence: sometimes fields are repeated, there may be multiple comment lines, choose from Any or 1,2,3,4 or 5. Operator: does the Search String Contain (anywhere), Equal (exact) or Not Equal (does not contain this text). Search Strings: add as many words or sentences you wish to search for. Remember they must be typed exactly as they appear in the record.

  6. When all the information is entered click the Add button A summary of the selections appears in the window view Our selections for Entry ID and Search String. For Occurrences: 0=Any 1=1 2=2…… For Operator: @ = Contains; = is Equal; ~ = Not equals. Click OK when finished.

  7. Setting up a Report to Automatically Email Students To set this up students must have a valid school email account You must contact the System Administrator before you can start emailing reports to students as there are several changes in the system that must occur first.

  8. The System administrator will help you set this up Library Address will need to change to where the email address is located: Primary or Address 1 You must Schedule the report to Run

  9. Check the Auto email to recipients with email addresses in their patron record box In the Reply to field enter your library’s district email address: abclibrary@cherrycreekschools.org Click Schedule to add the report to the list of scheduled reports

You should be familiar with email reports as your library is receiving reports providing statistics and hold information Below are example of reports that are setup through Email notification: The Hold Requests and Nightly Onshelf Hold Report provides the list of items requested from other libraries Your Libraries Monthly Circ Count that provides statistics for the month

  11. Loading a Report into Excel Some reports you may wish to export the data into Excel. This can be accomplished making a few changes to the output format when opening a finished report. Results will need to be edited and cleaned-up in Excel. Statistical reports displaying results in columns are good candidates for this type of formatting.

  12. Let’s look at the report “Count Copies by Material Type” I have run the report asking for a count of : • Hardcover Books • Paperback Books • Compact Discs • Kits Select and view the report

  13. Uncheck the View Log and Format Report box Click OK

  14. Under the File selection menu choose Save As… Name your file and save as a Text Document Open the Excel program on your computer Under the File selection menu choose Open Make sure to choose All Files under File Type so that it displays text documents as well as Excel files Choose your file and select Open

  15. Select a Delimited file type Click the Next Button

  16. Leave the Tab box checked Click the Finish Button

  17. The report has been imported but needs to be cleaned & edited I will delete rows 1-18, 21, 39, 41, 43, 45, 47-54 I will rename some of the headings & remove some blank rows I will expand the column spacing

  18. With the data now entered into Excel I can produce graphs and perform calculations
