  2. FACILITIES MANAGEMENT New Small works process – why? Small works which usually includes refurbishment or internal decoration can be arranged through the Facilities Management Helpdesk In order to increase our service offering, and offer a more efficient service to all our users, Schools and Support Services can if they wish commission their own small works subject to the guidelines and conditions through a nominated Small Works competent person and/or Budget Holder

  3. FACILITIES MANAGEMENT What works can be done? There are some parameters that Schools and Support Services must follow if they undertake their own work: No work at all is allowed on the electrical and mechanical infrastructure, due to the significant hazards these types of work create – only FM can undertake these types of work No work is allowed that may disturb asbestos containing materials (ACMs) – the asbestos register must be checked prior to work commencing No work is allowed that affects an asset’s structural integrity Schools and Support Services must manage the Contractors from start to finish – this includes monitoring their health and safety performance, and rectifying any issues at the end of the work A Small Works Competent Person must coordinate the work

FACILITIES MANAGEMENT Providing clarity – the website A specific website has been produced on the FM intranet, entitled Small Works Process There are a number of drop-down boxes on the website to take Schools and Support Services through the process http://www.lboro.ac.uk/service/fm/projects/small_works.html To accompany the website, a Code of Practice has been revised to align with the website, and provides further detailed information This Code of Practice can be located the University Health and Safety Website Brief website navigation>

FACILITIES MANAGEMENT Next steps Schools and Support Services to decide if they do wish to undertake any small works themselves If not, Facilities Management will still be able to manage the works on behalf of the School / Support Service If yes: Assign Small Works Competent Person(s) Ensure they have been trained Understand the parameters to work within, by referring to the website and the Code of Practice Plan a safe system of work Appoint contractor Monitor performance University Health and Safety Office will provide advice and guidance if needed
