Applicant Status • Recruiting Work Flow • Initial DNQ • Applicant receives automatic DNQ e-mail from iCIMS • View screening questions for incorrect responses • External Portal • Candidate Withdrew • Prepare Offer Details • ONLY HR moves applicant here • Offer Letter Sent • ONLY RD moves applicant here • Offer Rejected • Offer Rescinded • Hired: Background/Reference Check Completed • ONLY HR moves applicant here ***If you are interested in scheduling interviews through iCIMS, please contact your HR admin to learn how to use this feature!

  4. Offer Letters • Offer Letter Process (should be done BEFORE start date) • If the offer does not exceed 5% (hours or compensation) of the original req approval, notify your HR admin to move the applicant into Prepare Offer Details. • Once HR admin confirms (via email) that the applicant has been moved, notify your Regional Director with the offer details to send out the offer letter. • Offer details include: Name, req #, start date AND time, standard hours per week, work location, and compensation • If the offer exceeds 5% (hours OR compensation)of the original req approval, you must launch offer approval BEFORE contacting your HR admin and RD. • Must be approved by TVP or equivalent • Explain why you are requesting approval • Once approval is launched and approved, NOW you may contact HR admin to move into Prepare Offer Details status THEN notify your RD to send out the offer.

On-boarding • Uploading/completing required documentation • Signed offer letter • LOCAL background check results • License/Certification (if required for the position) • Completing the I-9 through the iForms tab • Verifying all mandatory iForms are completed by the new hire • Completing a new hire profile • Once everything is uploaded/completed, contact your HR admin to verify and THEY will move employee to complete status • HR enters background check results and certification into ADP for reporting purposes • Hired: Background Check/Reference Check Completed Status
