  3. What is Bulk Mail? • Bulk Mail is defined as mail (200 or more pieces) of identical items sent to individual addresses at less than first class rates and paid in one lot. • Mail may consist of letters, flats, flyers, newsletters. • Do not send pens, pencils anything causing uneven mail piece.

  4. Why would you use Bulk Mail? • Save money $51.80 on 200 pieces • Mail out over 200 pieces

  5. Permit • UHV non-profit permit number must be placed or printed where the postage stamp would usually be placed. Permit labels can be found on the “P” Drive, Postage folder. Non-Profit Org. U.S. Postage PAID Victoria, Texas Permit No. 260

  6. Procedures • Mail Services website under Business Services homepage has forms for your use. • The Postal Service has made changes effective 11/23/08 to the address of discounted mail. Department address list must be verified with the Postal Service prior to printing of labels. This will save the mailer and the Postal Service money. Victoria Presort for a minimal fee will verify your address list. For more information, contact Larry Steen, Mail Services Clerk. • The Bulk Mail Form & Bulk Mail Worksheet will need to accompany all of your mailings. http://www.uhv.edu/Business/MailServices/ • Sort by the first 3 zip codes.

Procedures (continued) • Address placement on envelopes • Type or machine-print in dark ink on a light background with a uniform left margin. • Left-justify every line in the address block. • Use two-letter state abbreviations. • Use one space between city and state, two spaces between state and ZIP+4 code. • Use appropriate ZIP+4 code (if unknown, use 5-digit ZIP Code). • The Post Office requires that the mail be delivered to them in trays. These are available in the mailroom. If mailing flats (oversize envelopes) the Post Office requires they be delivered in sacks. • The Bulk Mail must be in trays not paper boxes and counted.

  8. Procedures (continued) • After sorting, counting and preparing the necessary bulk mail forms request your mailing to be picked up or deliver to Mail Room. • After reviewing the mail out the Mail Services will deliver to the post office.

  9. Rates For Bulk Mailing Based on Zip Codes: (snapshot from USPS statement) Presorted Rates – Letters and Flats 3.3 oz. and or less None (779) B1. 3/5 Letter .155 x_____ pcs. = $______ B2.   10. Mixed Mail • Consists of mail outside the 779 zip code. • 150 pieces of the same zip will require you to sort and account for the number to claim a discount on the mailing. • List the totals on the Bulk Mail Worksheet.

Notes • UHV bulk mail permit #260 must be in the postage stamp area. • Complete the Bulk Mail Worksheet and UHV Bulk Mail form and attach to your Bulk Mail. • The US Postal Service Statement may be completed in the mailroom. http://www.usps.com/forms/_pdf/ps3602nz.pdf • Samples of each are available on the “P” drive, Postage folder. • Bulk Mail is delivered to the downtown Post Office.
