  13. Minutes of the 4th Meeting of the End of Year Project Exhibition Committee Present: Linda Cooley Chair Robin D. Corcos Secretary Rose Chan Committee Member Denis Williamson Committee Member Item 1 Confirmation of the minutes of the previous meeting The minutes of the previous meeting were confirmed subject to the following amendments: Item 3 “Mr. Jackson” was amended to Dr. Jackson. Item 4 The “8th of June” was amended to the “18th of June”.

  14. Item 2 Matters Arising Item 3: Dr. Jackson has indicated her willingness to come and talk to the committee about installing a temporary security system for the exhibition. AGREED: Dr. Jackson will be asked to come at 3:00 PM on May 10. ACTION: Linda

  15. Item 2 Matters Arising Item 5: The Estates Office has been contacted with reference to their demand for visitors to the exhibition to pay the Wilson Parking fees. No reply has yet been received. AGREED: A written request for parking permits without payment will be sent again as paying for parking will discourage people from attending the exhibition. ACTION: Denis

  16. Item 2 Matters Arising Item 6: The Safety Office and the Classroom Services Unit have not yet replied regarding power points in the exhibition venue.

  17. Item 3 Publicity for the Exhibition Rose suggested that an item could be broadcast on the Campus TV in the week prior to the exhibition to reach as large an audience as possible. AGREED: A request will be made to Campus TV to broadcast news of the exhibition and a donation of HK$500 will be made to this student organization. ACTION: Rose will make contact with Campus TV.

  18. Item 4 Catering arrangement for the Exhibition • The food and beverages provided for last year’s opening ceremony were unsatisfactory in both quality and quantity. • The catering company used for the Faculty of Architecture’s conference provided much better service, but it was considerably more expensive.

  19. Item 4 Catering arrangement for the Exhibition A decision on employing another catering company was DEFERRED until (i) further details are available on the catering service used by the Faculty of Architecture (ii) the Finance Office has been approached to find out the allocation for catering. AGREED: The EO of the Faculty of Architecture will be contacted. Inquiries will also be made to the Finance Office. ACTION: Robin

  20. Item 5 Photographs Students from the Photography Society have offered to take photos of the exhibits as they would like to enter a photography competition on the theme of photography in Science and Technology. Using these students’ photos instead of employing professional photographers will save quite a lot of money as they are willing to do the work without a fee. AGREED: Students of the Photography Society will be allowed to take photographs of the exhibits, but the decision on whether or not to also employ professionals was DEFERRED until the committee has seen samples of the students’ work. ACTION: Linda will ask the students to submit some samples before the next meeting.

  21. Item 6 AOB The department secretaries have done a great deal of extra work connected with the organization of the exhibition. AGREED: A Thank You card and a box of chocolates will be bought as a gesture of the committee members’ gratitude. ACTION: Robin will organize the purchase of these items and everyone will sign the card. There being no further business, the meeting closed at 4:30 PM. Next meeting: September 26th 2006 at 3:30 PM.

  22. Creativity Task • Work in a group of 4 or 5 and each group will be given an invention to analyze. Exercise your creativity and imagination and think of ways to introduce this product to the other groups.
